Position Summary

We are currently hiring a Logistics & Scheduling Coordinator who is phone-first, engaging, detail-oriented, and highly organized. This role serves as a critical liaison between our Field Representatives and existing or onboarding clients, ensuring visits are scheduled efficiently to support regulatory and compliance requirements.

The ideal candidate enjoys working with people, excels at communication, and can confidently manage a high volume of calls while maintaining accuracy and exceptional customer service.

No industry experience is required—we provide comprehensive training and ongoing support in scheduling, customer service, administration, and industry-specific processes.

What You'll Do

  • Provide a warm, professional, and confident scheduling experience for existing and onboarding clients
  • Coordinate appointments between Field Representatives and clients to facilitate regulatory and compliance-related visits
  • Manage a high volume of incoming and outgoing phone calls
  • Provide scheduling assistance and support to clients and families
  • Respond to inquiries and resolve scheduling conflicts in a timely manner
  • Maintain accurate records and data entry within company systems
  • Manage administrative tasks including inbox maintenance, filing, and documentation
  • Utilize proprietary software and scheduling tools (training provided)
  • Communicate effectively with internal teams and external stakeholders
  • Support general administrative operations as needed

Qualifications

Required

  • Minimum of 3 years of customer service and/or administrative experience
  • Exceptional verbal and written communication skills
  • Strong phone presence and customer service skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Excellent organizational skills and attention to detail
  • Strong problem-solving abilities and proactive mindset
  • Positive attitude and commitment to meeting goals and performance expectations
  • Strong work ethic with a focus on accuracy and professionalism
  • Proficiency with Microsoft Office, particularly: Excel, Outlook and Word.

Preferred

  • Previous scheduling, appointment-setting, or booking experience
  • Experience working with diverse populations and demonstrating cultural sensitivity
  • Experience in healthcare, human services, or related service industries
