Job description

Position Summary
The Logistics Coordinator is responsible for coordinating and monitoring the movement of inbound and outbound shipments, ensuring timely delivery, regulatory compliance, and effective communication among carriers, warehouses, suppliers, customs brokers, and internal stakeholders. This role supports supply chain operations by tracking shipments, resolving transportation issues, managing logistics documentation, and coordinating import/export activities in compliance with U.S. regulations.
Essential Duties and Responsibilities
Transportation Coordination & Shipment Tracking
  • Track and trace inbound and outbound orders from origin through final delivery.
  • Ensure trucks are loaded, dispatched, in transit, and delivered according to schedule.
  • Monitor shipments and proactively identify and address potential delays, including weather disruptions, loading issues, traffic conditions, highway closures, and carrier-related concerns.
  • Communicate shipment status, delays, and discrepancies to buyers, sales teams, warehouses, and other stakeholders.
  • Schedule accurate and timely arrivals and departures of shipments.
  • Assign loads to approved carriers as needed.

Communication & Problem Resolution
  • Serve as a liaison between carriers, warehouses, suppliers, customs brokers, production personnel, and internal departments.
  • Investigate and resolve transportation, delivery, and customs-related issues in a timely manner.
  • Communicate shipment exceptions and expected delays to key stakeholders.
  • Work closely with warehouse teams to ensure shipment scheduling aligns with facility capacity and operational requirements.

Data Management & Reporting
  • Maintain accurate logistics records, spreadsheets, and transportation data.
  • Enter freight costs, accessorial charges, and related transportation expenses into company systems.
  • Prepare and distribute daily shipment and delivery reports.
  • Update company systems with shipment details, order discrepancies, and freight information.

Team Support
  • Assist with identifying and onboarding new transportation carriers as needed.
  • Provide backup support for other logistics team members.
  • Participate in a rotating weekend coverage schedule as required.
  • Perform other duties and special projects as assigned by the Logistics Manager.

Qualifications
Education & Experience
  • Associate degree in Logistics, Supply Chain Management, Business Administration, or a related field preferred.
  • Minimum of 2 years of experience in logistics, transportation, supply chain, or freight coordination preferred.
  • Experience in food, produce, agriculture, warehousing, or distribution environments is preferred.

Knowledge, Skills & Abilities
  • Knowledge of transportation and logistics operations.
  • Understanding of import/export documentation and customs processes.
  • Familiarity with FDA regulations and transportation compliance requirements.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong problem-solving and decision-making abilities.
  • Proficiency in Microsoft Office, including Excel.
  • Experience with ERP, transportation management systems (TMS), or logistics software preferred.
  • Ability to work independently and collaboratively as part of a team.

Physical Requirements
  • Prolonged periods of sitting and working on a computer.
  • Ability to occasionally lift and carry up to 25 pounds.
  • Ability to communicate effectively by phone, email, and in person.
