Job description

Administrative Specialist

We are seeking a detail-oriented, organized, and proactive Administrative Specialist to provide comprehensive administrative and operational support to our team. The ideal candidate will assist with managing records/case file, tracking deadlines and court dates, ensuring timely filings as well as supporting daily office operations. This individual will play a key role in maintaining efficiency, accuracy, and exceptional internal and external customer service. The successful candidate will possess strong organizational skills, the ability to prioritize and manage multiple tasks, and a commitment to maintaining confidentiality and professionalism in a fast-paced environment.

Essential Functions
  • Organize and maintain accurate case files, ensuring all documents are current, complete, and properly retained.
  • Track deadlines and court dates, ensuring timely filings.
  • Maintain case management systems and update litigation tracking reports and spreadsheets with real-time case activity.
  • Prepare weekly litigation status reports summarizing all active lawsuits.
  • Perform legal research and litigation tracking using the federal PACER database.
  • Serve as a liaison between repossession vendors and insurance carriers
  • Work with accounts payable for all new attorney setups and approval on billing.
  • Manage onboarding protocols, including engagement letters, W-9s, banking information.
  • Other duties as assigned.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are variable and based on business need. Evening and weekend work may be required as job duties demand.

Physical Requirements

This position is indoors. Must be able to sit at a computer terminal for an extended period. May be asked to lift approximately 25 lbs. Exposure to moderate noise and light, i.e., business office with computers, phone, printers, light foot traffic.
