OverviewThe Executive Project Associate provides support to one or more executive(s) with administrative activities and project management tasks. The Executive Project Associate should aim to optimize their assigned executives' time, be aware of each executives' strategic priorities, and screen content to ensure the executives can focus on potential risks/decisions at the right time. This role also requires a significant amount of communication and coordination with other staff and departments including Senior Executives. An Executive Project Associate must have a broad knowledge of hospital operations, regulations, procedures, and policies. In addition, the Executive Project Associate will play a strategic role in supporting and leading projects for the team.

Responsibilities

  • Prepares communications and presentations with direction from Executive and/or support from other stakeholders as needed (e.g., Word, PowerPoint).
  • Manages activities and resources to ensure projects/initiatives owned by executive progress as expected (e.g., project plans and timelines, meeting agendas).
  • Optimizes leaders’ time by providing calendar management for meetings, conferences, and appointments. 
  • Performs executive level data analysis of financial, quality and other KPIs to recommend solutions and support executive(s) in making decisions (e.g., reports through Power BI, Pivot tables, graphs, etc.).
  • Review and approve invoices for payment. Oversee the preparation of check requests, petty cash, along with purchase orders and ordering of supplies.
  • Conducts Post Implementation Reviews and Gap Analysis to ensure plan objectives were met, document successes and areas for improvement, and provides recommendations to be carried forward for future projects.
  • Be able to articulate solutions and/or processes in a simple and engaging way through shadowing and in practice as well as maintain ownership of Pl project life- cycle process from initiation to end.
  • Maintain internal directory and listserv for frequently engaged stakeholder and communications.
  • Other responsibilities as assigned.

Requirements

  • Bachelor's Degree required.
  • 3 years' experience required. Project management/office support preferred.
  • Proficient in Microsoft Office Suite including PowerPoint and Excel.
  • Systems and database knowledge of Power BI, EPIC, HCM, Stratajazz and P-Suite preferred.
  • Utilizes application with minimal help to complete tasks or projects assigned.
