JOB SUMMARY: The Office Coordinator provides coordination and managerial support to the Pro Bono Senior Managing Attorney and staff in overseeing the logistics of pro bono case placements, including organizing trainings, events, and publications, while managing and maintaining the database and reporting requirements. 


ESSENTIAL DUTIES and RESPONSIBILITIES:  

  • Track and manage cases referred to pro bono attorneys for legal representation. Ensure that pro bono attorneys complete case initiation forms, have available resources and materials for their cases, and are in contact with their clients. Provide follow up with attorneys as needed. 
  • Oversee the case management system/ database to ensure that placed cases, referred cases, matched cases, staff mentorship assignments, and client files are included in Legal Server.   
  • Coordinate the planning and implementation of our annual appreciation event.  
  • Regularly obtain and record case updates from pro bono attorneys by sending satisfaction surveys to pro bono coordinators and attorneys, follow up on unreturned surveys, and document survey results.  
  • Assist in outreach to law firms, bar organizations, and community/government partners by scheduling and tracking outreach, sending notices to invitees and attendees, ensuring availability of resources for events, and helping coordinate community outreach events. 
  • Coordinate training schedules with presenters and law firms, publicize trainings, manage training attendees, and organize materials for trainings, including the training flyers. 
  • Maintain the pro bono listserv, ensuring that it is up-to-date, and email pro bono publications to the listserv. 
  • Coordinate the pro bono publications, such as the weekly action alert and the quarterly Victories newsletter; Manage the publication of cases and events through Paladin and interdepartmental updates (i.e., Viva Engage). 
  • Assist with the recruitment of interns through law school intern fairs, schedule interviews, and follow up on reference checks. 
  • Coordinate the timely preparation and submission of all external and internal program reports. Provide the stats, assist the Senior Managing Attorney and Program Director with grant reporting, and gather the necessary data from pro bono attorneys, clients, and other volunteers. 
  • Manage the administrative onboarding of new staff, interns, and other volunteers, including Access Cards, ID Badges, IT System Set Up, and ensuring the workspace has all the necessary components. 
  • Work collaboratively with Senior Managing Attorney and other key staff to ensure problem resolution on day-to-day operations within the program. 
  • Serve as a liaison between Pro Bono, Immigration Legal Services, and the Navigators Program. 
  • Coordinate the fundraising efforts and the holiday giving programs.  
  • Perform other job-related duties as assigned. 

Requirements

EDUCATION and EXPERIENCE:

  • Bachelor's Degree in Public Policy, Social Sciences, Government or a related field. 
  • Two years of experience working in event coordination, case management, or customer service position. 

SKILLS and COMPETENCIES:

  • Familiarity working with online platforms and publication software.
