Job description

Job Title: Listings Coordinator
Business Unit: Shared Services
Reports To: Sr Manager, Operations
Location: Winston-Salem, NC (In-Office)
Role Type: Hourly - Part-Time (20 hours/week)
The Listings Coordinator is responsible for the day-to-day management and accuracy of active brokerage listings, while also supporting overall brokerage operations through task coordination and coverage. This role ensures listings are consistently maintained, broker requests are handled efficiently, and service levels are met.
Responsibilities:
Listing Management & Accuracy
  • Manage all active listings once live, ensuring accuracy across all platforms
  • Process price changes, photo updates, and listing removals
  • Update brochures and listing materials as needed
  • Maintain internal listings website (via Buildout) with current and accurate data
  • Ensure accuracy across third-party platforms (CoStar, Crexi, LoopNet)
  • Perform QA on listings to ensure consistency across platforms, brochures, and marketing materials
  • Conduct periodic audits of active listings to verify accuracy and completeness
  • Track brochure and listing update dates; proactively flag stale listings and coordinate updates with brokers
  • Maintain organized and up-to-date listing folders, ensuring brokers have access to accurate materials (photos, brochures, floorplans, etc.)

Brokerage Marketing Execution
  • Execute listing-specific social media posts using approved templates
  • Coordinate signage removals with vendors and brokers
  • Manage end-to-end execution of handwritten note campaigns, including lead list uploads, printing, and preparation for mail
  • Order approved marketing mailers/postcards through third-party vendors, ensuring timely production and distribution

Brokerage Operations Support
  • Act as backup support for the Sr Manager, Operations as needed
  • Actively manage incoming broker requests, ensuring timely response and completion
  • Maintain visibility into task queue and prioritize work to meet turnaround standards
  • Ensure consistent coverage of broker needs across listings and deal support
  • Maintain and manage key boxes for local listings

Qualifications:
  • 1-3 years of experience in administrative, marketing, or real estate support roles
  • Proficiency in Microsoft Office; familiarity with real estate platforms is a plus
  • Strong sense of ownership and accountability for turnaround times
  • Highly organized with the ability to prioritize and manage a task queue
  • Proactive problem-solver with excellent written and verbal communication skills and strong attention to detail
