Description
The Conservation Center for Art & Historic Artifacts (CCAHA) in Philadelphia is seeking an Assistant for its Lab Operations team. The Lab Operations Assistant supports and promotes the activities of CCAHA's administrative and conservation teams by providing necessary assistance across lab administrative functions. They will assist with day-to-day registrarial duties, including object packing, logistics coordination, and chain-of-custody documentation. This person also serves as a point of contact for clients, guests, and visitors.
Location
This is an in-person, full-time position located on-site at CCAHA in Philadelphia.
Reports to:
The Lab Operations Assistant reports to the Director of People & Operations and works closely with the Operations team and the Director of Conservation.
Responsibilities:
  • Support and maintain administrative processes within the lab, including creation and maintenance of project records, contracts, and relevant workflow paperwork
  • Assist Registrar with object packing, scheduling, chain-of-custody procedures, and space organization
  • Serve as a point of contact for clients and provide excellent, informed customer service throughout project process, from intake to completion
  • Work with the Development team to track prospects and potential projects
  • Manage main CCAHA inbox, sharing information, and redirecting inquiries as appropriate
  • Assist with front desk coverage, along with distribution of mail and packages
  • Other duties as assigned

Requirements
  • Previous experience with object handling and best practices required
  • High school diploma required or equivalent
  • At least two years of demonstrated experience in a customer service-focused position
  • Proficiency with Microsoft Office 365 required, with advanced knowledge of Microsoft Excel preferred
  • Familiarity with project management systems and constituent databases are required
  • Previous experience at cultural institutions or nonprofit organizations is a plus
  • Ability to work independently and as part of a larger team
  • Meticulous attention to detail
  • Clear written and oral communication skills
  • The ability to lift/maneuver at least 30-50lbs safely

Compensation
This is a full-time, nonexempt position. A generous benefits package that includes time-off, medical, dental, and vision coverage, and FSA are included. The salary range for this position is $43,624.15 to $46,895.96.
