Job description

Overview

The Trellis School is looking for an Administrative Assistant to join our dynamic related services team. We are a non-public school serving children grade Pre-K to 12 in Sparks, Maryland, just north of Hunt Valley, in Baltimore County.

The Administrative Assistant plays an essential role in ensuring the execution of daily operations at The Trellis School. Serving as a central hub of communication, this position fosters collaborative connections across all departments and team members to maintain an efficient, supportive, and productive school environment.

Candidates must be able to commit to a full-time Monday-Friday 7:45am-3:45pm schedule. 

Responsibilities
  • Maintain and audit student IEP binders to ensure compliance with COMAR regulations
  • Copy and organize materials for training and parent packets
  • Assist Education Director in creating and distributing school policies in accordance with COMAR regulations
  • Create and organize school calendars
  • Manage correspondence with parents and other agencies for regularly occurring and emergency communications
  • Assist in monitoring any visitors of the building
  • Open and sort incoming mail
  • Answer and direct incoming phone calls to appropriate parties/departments
  • Assist with copying, scanning, filing, and laminating
  • Create system for efficient office communication with other Trellis departments
Qualifications
  • High School Diploma or equivalent is required; Bachelor's degree preferred
  • 1+ years of school clerical experience is preferredThe ability to shift back and forth between two or more activities or sources of information
  • Communicating effectively in writing as appropriate for the needs of the audience.
  • Developing specific goals and plans to prioritize, organize, and accomplish your work.
  • Active listening skills. Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Demonstrated ability to work independently and as part of a team in a fast-paced, dynamic environment.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines effectively.
