Receptionist/Administrative Assistant

SUMMARY

This position reports to the Controller and will provide diversified administrative support to various functions within the facility. This position is responsible for answering the company phones and greeting visitors and is the first point of contact for visitors and callers to the company.

Essential Functions/Key Responsibilities:

Communication: Answer and route phone calls, respond to inquiries, and manage incoming and outgoing mail or packages.

Document Preparation: Prepare communications such as memos, emails, invoices or reports; draft, edit and proofread correspondence, reports, and memos. Prepare new hire orientation packets as needed. Perform basic bookkeeping.

General Support: Provide administrative support to various functional areas including Accounting, Human Resources, and Site Leadership. Assist with special projects, do candidate phone screens, schedule appointments and interviews, assist with event planning and coordinate meetings and food deliveries.

Inventory Management: Monitor office supply levels, anticipate needs, and place orders to ensure the office is fully stocked.

Qualifications and Skills:

  • Proven experience as an administrative assistant, office assistant, or in a relevant clerical role.
  • Proficiency in office software (Microsoft Office Suite).
  • Exceptional organizational and time-management abilities.
  • Strong verbal and written communication skills.
  • Professional demeanor and appearance.
  • High school diploma or equivalent.

LANGUAGE SKILLS

Excellent speaking and phone communication skills. Ability to read and interpret documents. Ability to write routine correspondence and reports.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, divide into all units of measure.

PHYSICAL DEMANDS

The job involves prolonged sitting, talking and hearing. The employee is regularly required to stand and walk. The employee may occasionally be required to commute to pick up supplies. Vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

WORK ENVIRONMENT

Most work takes place at the front reception area and desk. However, while performing the duties of this job, the employee may occasionally be exposed to wet and/or humid conditions and moving mechanical parts.
