LEGAL ASSISTANT


Key Responsibilities

Attorney & Case Support

  • Provide administrative and legal support to attorneys and paralegals
  • Prepare, proofread, format, and finalize legal documents and correspondence
  • Assist with drafting routine legal forms, letters, and pleadings
  • Maintain case files and ensure documentation is complete and organized
  • Track deadlines and assist in managing attorney calendars and task lists
  • Coordinate case-related activities and follow up on outstanding items


Client Communication

  • Serve as a primary point of contact for clients regarding scheduling, document requests, and administrative matters
  • Communicate with clients professionally and empathetically via phone, email, and client portals
  • Provide status updates and assist with gathering information and documentation
  • Schedule consultations, meetings, and client appointments
  • Ensure clients receive timely responses and exceptional service


Document & File Management

  • Organize, maintain, and update electronic and physical files
  • Manage document collection, scanning, filing, and record retention
  • Prepare engagement agreements and client onboarding materials
  • Ensure all information is accurately entered into practice management systems
  • Maintain confidentiality and security of client information


Administrative Support

  • Manage attorney calendars, scheduling, and meeting coordination
  • Assist with incoming and outgoing mail, email management, and document delivery
  • Coordinate with courts, opposing counsel, vendors, and third parties as needed
  • Monitor workflows and help ensure deadlines are met
  • Support special projects and firm initiatives as assigned


Client Experience & Team Support

  • Deliver a professional, responsive, and client-focused experience
  • Anticipate needs and proactively resolve administrative issues
  • Assist in improving internal systems and processes

Qualifications

  • 2+ years of experience as a Legal Assistant
  • Law firm experience strongly preferred
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • High attention to detail and accuracy
  • Ability to prioritize competing tasks and meet deadlines
  • Proficiency in Microsoft Office and legal practice management software


Preferred Qualifications

  • Experience supporting attorneys in estate planning, probate, family law, litigation or business law
  • Familiarity with Clio, MyCase, PracticePanther, or similar legal software
  • Experience with client intake and onboarding processes
  • Strong document management and calendaring skills
  • Bachelor's degree or Paralegal Certificate preferred but not required
