Position Summary:
Reports to Vice President, Legal & General Counsel. Responsible for providing broad administrative support to the Legal & Risk Management department. The position supports all department attorneys, risk management personnel, and claims and legal operations staff, and captures administrative and support functions that do not primarily belong to the Director, Legal & Risk or Manager, Risk & Legal Operations roles.


Essential Functions:

  • Provide direct administrative support to the corporate and employment legal team.
  • Open, organize, update, and maintain claim and legal matter files.
  • Assist with litigation holds, claim file organization, case file preparation, document collection, subpoena responses, public records requests, and responses to internal and external requests for information.
  • Coordinate with the legal team, facility leadership, payroll, benefits, operations, and other internal stakeholders to collect, organize, and transmit records relating to legal matters, under attorney direction.
  • Prepare and revise routine legal, contract, corporate, claims, employment, and risk management documents for attorney or other staff review.
  • Perform basic legal research and draft routine legal documents, corporate resolutions, and similar materials for attorney review.
  • Maintain internal litigation, claims, and department systems by entering new matters, updating deadlines, tracking pleadings, discovery, correspondence, trial dates, agency deadlines, and other matter information as assigned.
  • Maintain trackers for claims and legal matters, subpoenas, public records requests, administrative charges, response deadlines, litigation holds, investigation files, and outside counsel assignments.
  • Preserve confidentiality and privilege by following attorney direction, separating privileged materials where appropriate, and escalating sensitive legal matters promptly.
  • Provide general administrative support to all department personnel.
  • Answer and direct phone calls; sort and distribute mail; prepare, proofread, edit, and review correspondence and documents; organize and maintain department files; maintain department contact lists; and coordinate routine department communications.
  • Maintain department calendars, monitor deadlines, coordinate department meetings, conferences, and activities, and assist with scheduling and meeting logistics.
  • Manage the department P-Card for supplies and assigned charges, prepare monthly summaries, and account for and reconcile charges as required.
  • Coordinate department invoice and vendor administration.
  • Manage end-to-end processing of legal invoices delivered through legal invoice systems and from outside law firms, including extraction of invoice data, routing for approval, submission of approved invoices for payment, and maintenance of a master invoice log.
  • Submit vendor invoices for payment; maintain vendor and outside counsel contact information; support registered agent contract administration; and assist with service of process tracking and routing.
  • Assist with the legal team with invoice tracking, matter coding, cost allocations, supporting documentation, and follow-up with counsel, Finance, Shared Services, examiners, and vendors.
  • Maintain corporate and regulatory support records not assigned elsewhere.
  • Manage and oversee corporate compliance and service of process vendors.
  • Assist with maintenance and preparation of organizational documents, articles of incorporation or dissolution, bylaws, merger documents, EIN applications, regulatory filings, corporate compliance documents, and related recordkeeping as assigned.
  • Assist with trademark registration applications, tracking, maintenance, and related records if not otherwise assigned.
  • Maintain organized SharePoint folders, document libraries, trackers, logs, and records retention structures for department matters.
  • Provide cross-functional support across all areas of the department, including overflow support for claims, insurance, fleet, safety, legal operations, corporate governance, employment law, and special projects.
  • Contribute to the company Culture of Caring by maintaining positive and respectful relationships with employees, customers, vendors, program recipients, and the community.
  • It is expected that the incumbent shall perform other duties as assigned within his/her capabilities as determined by management.


Education and Experience Requirements:
Associate degree or equivalent combination of education and directly related experience required; bachelor degree, paralegal certificate, legal assistant experience, claims administration experience, HR records experience, or corporate administrative experience preferred. At least three years of administrative, legal assistant, paralegal, claims support, labor and employment support, risk management support, records, invoice processing, executive support, or related experience preferred. Must have excellent written and verbal communication skills, strong organizational skills, demonstrated accuracy, professional judgment, initiative, self-motivation, and the ability to handle confidential and privileged information with discretion. Must be detail oriented and proficient with Microsoft Office 365 (Word, Excel, Teams, SharePoint, PowerPoint), Adobe Sign, Oracle, Workforce, internal risk management systems, legal operations systems, and other corporate and departmental systems used by the Legal & Risk Management function. Unless waived by management, must maintain a valid driver license in the state of employment with an acceptable driving record.
