Job description

Duties & Responsibilites:
  • Exhibits outstanding client service orientation in greeting guests, responding to work requests, scheduling meetings and conducting teleconferences.
  • Provides proactive administrative support for attorneys and paralegals.
  • Displays strong attention to detail.
  • Maintains strict confidentiality of matters and information.
  • Responds to requests with a sense of urgency and effectively prioritizes work.
  • Interacts with court personnel, attorneys and staff in a professional manner to obtain and provide data, answer questions and resolve problems.
  • Prepares and reviews letters and memoranda according to Firm standards using word processing and document management systems.
  • Drafts basic litigation-related documents.
  • Files and serves motions, discovery, and other pleadings to appropriate parties.
  • Downloads court documents and pleadings, and saves them to appropriate files/subfolders, and otherwise properly maintains client files, folders, and subfolders. Keeping electronic client files organized is an absolute priority.
  • Maintains attorneys' calendar.
  • Schedules court appearances, client meetings, depositions and other engagements. Ensures there are no scheduling conflicts.
  • Proactively monitors deadlines and notifies attorneys of pending deadlines.
  • Creates, maintains and retires files in accordance with Firm policies.
  • Assists in managing client contacts, emails and prints documents as well as processing mail.
  • Processes requests for payment and reimbursements.
  • Clearly communicates in a concise, professional manner.
  • Knowledge of the litigation process and general court operations.
  • Ability to read and understand the differences between various litigation-related pleadings.
  • Strong verbal and written communication skills.
  • Hybrid work arrangements negotiable, with a baseline expectation of working in-person/in-office at least three (3) days per week.

Qualifications:
  • 2+ years as a Legal Assistant within a law firm supporting attorneys practicing medical malpractice defense litigation or other defense litigation preferred.
  • Education beyond high school or coursework related to the legal industry is preferred.
  • Knowledge of functions and jurisdictions of local, state, and federal courts and related agencies.
  • Proficient using MS Office Suites: Word, Excel, and Outlook. Experience with Billing Software and On-Line Document Management Software preferred.
  • Proficient with electronic filing procedures in State and Federal Courts, including Colorado and preferably New Mexico Courts.
  • Expertise in using Outlook Calendars for scheduling and maintaining attorneys' busy court schedules.
  • Experience in creating and maintaining documents, formatting, inputting, editing, retrieving, and copying; coordinating case preparation.
  • Typing speed of 65 WPM is a required minimum.
  • Highly organized and able to multitask and juggle competing priorities in a fast-paced environment.
  • Excellent communication and organizational skills.
