Legal Assistant
We are seeking a full-time Legal Assistant to support our Personal Injury Firm.
The Legal Assistant will work closely with paralegals to assist with the day-to-day management of personal injury cases, with a primary focus on requesting, obtaining, following up on, and organizing medical records and bills. The ideal candidate is highly organized, detail-oriented, comfortable communicating with medical providers and clients, and able to manage multiple outstanding requests and deadlines.
Responsibilities
โ€ข Request medical records and bills from hospitals, physicians, imaging facilities, therapy providers, and other medical facilities.
โ€ข Consistently follow up on outstanding medical record and billing requests to ensure records are received in a timely manner.
โ€ข Maintain an organized tracking system for outstanding medical records and bills.
โ€ข Review received records to confirm requests are complete and identify missing records, dates of service, or billing information.
โ€ข Upload, scan, label, and organize medical records, bills, and other documents in the firm's case management system (ATO).
โ€ข Notify the assigned paralegal when requested medical records and bills have been received.
โ€ข Obtain updated medical records and bills throughout the life of a client's case as requested by the paralegal.
โ€ข Communicate with medical providers regarding record requests, authorizations, invoices, balances, and other documentation.
โ€ข Prepare and send HIPAA authorizations and other forms necessary to obtain client medical information.
โ€ข Assist paralegals in gathering and organizing documentation needed to prepare demand packages.
โ€ข Copy, scan, organize, and prepare medical records and supporting documentation for inclusion in demand packages.
โ€ข Contact clients when necessary to obtain information regarding medical providers, treatment dates, or other information needed to complete record requests.
โ€ข Assist with requesting insurance information, reports, and other case-related documentation.
โ€ข Draft and send routine correspondence on behalf of the legal team
โ€ข Maintain accurate and organized electronic client files.
โ€ข Process and post invoices related to medical record requests.
โ€ข Provide general administrative and case support to assigned paralegals.
โ€ข Handle phone communications with clients, medical providers, insurance companies, and other parties as needed.
โ€ข Assist paralegals with additional case-related tasks as requested.
โ€ข Perform other duties as assigned.
