Position: Worker's Compensation and Leave Coordinator
General Summary:
The Workers' Compensation & Leave Coordinator is responsible for coordinating and administering the Company's workers' compensation claims and employee leave programs. This position works closely with the Safety Department, employees, managers, insurance carriers, medical providers, and other internal departments to ensure work-related injuries and illnesses, leaves of absence, and disability claims are processed accurately, timely, and in accordance with Company policies and applicable laws.
The Coordinator serves as a primary point of contact for employees throughout the workers' compensation and leave process, providing clear communication regarding required documentation, claim status, leave requirements, and return-to-work expectations. This position requires a high level of confidentiality, organization, attention to detail, and the ability to manage multiple cases and deadlines simultaneously.

- Experience with HRIS, benefits, leave-management, or workers' compensation systems.
- Experience in a construction, electrical, manufacturing, or other safety-sensitive industry is preferred.

Responsibilities:
Workers' Compensation
- Coordinate the administrative process for work-related injuries and illnesses in partnership with the Safety Department.
- Receive and review accident and injury information to ensure required workers' compensation documentation is completed accurately and timely.
- Assist the Safety Department with initiating workers' compensation claims with the appropriate insurance carrier or third-party administrator.
- Communicate with employees, supervisors, Safety personnel, medical providers, insurance representatives, and other involved parties regarding claim status and required documentation.
- Track workers' compensation claims from initial report through resolution, including medical treatment, work restrictions, transitional duty, and return-to-work status.
- Maintain accurate and confidential workers' compensation records and documentation.
- Monitor medical appointments, work restrictions, follow-up requirements, and anticipated return-to-work dates.
- Coordinate with Safety and management regarding modified or transitional duty opportunities when applicable.
- Assist with obtaining and reviewing medical documentation and work-status information related to occupational injuries.
- Identify missing or incomplete information and follow up with appropriate parties to ensure claims are processed timely.
- Maintain workers' compensation claim files and tracking reports and provide status updates to appropriate leadership.
Leave of Absence Administration
- Coordinate and administer employee requests for leaves of absence, including medical leave, FMLA, personal leave, military leave, and other Company-approved leaves.
- Receive and review leave requests and required supporting documentation.
- Determine applicable leave requirements and coordinate with HR leadership, employees, managers, and applicable leave vendors or insurance providers.
- Prepare and issue required leave correspondence, forms, notices, and documentation.
- Track leave dates, available leave balances, certification deadlines, recertification requirements, and expected return-to-work dates.
- Monitor employee leave status and communicate with employees regarding documentation, extensions, return-to-work requirements, and other applicable deadlines.
- Maintain accurate and confidential leave records in accordance with Company policies and applicable legal requirements.
- Coordinate with payroll and HR as necessary to ensure appropriate handling of leave-related pay, benefits, and timekeeping.
- Assist with the administration of accommodations and return-to-work processes when applicable.
- Ensure leave administration is handled consistently and timely while maintaining appropriate confidentiality.
Short-Term and Long-Term Disability
- Assist employees with short-term disability (STD) and long-term disability (LTD) claim paperwork and processes.
- Coordinate required forms and documentation between employees, healthcare providers, the insurance carrier, and the Company.
- Track disability claims and follow up on outstanding documentation or claim requirements.
- Communicate claim status and applicable next steps to employees and appropriate internal personnel.
- Coordinate disability leave with applicable FMLA, Company leave, workers' compensation, and return-to-work requirements when applicable.
- Maintain accurate and confidential disability-related records.
General Responsibilities
- Serve as a knowledgeable and professional resource for employees and managers regarding workers' compensation and leave processes.
- Maintain strict confidentiality of employee medical, leave, workers' compensation, and disability information.
- Ensure documentation is complete, accurate, organized, and maintained in accordance with Company procedures.
- Prepare reports and maintain tracking tools related to workers' compensation claims, leaves of absence, disability claims, and return-to-work activity.
- Assist with identifying trends or recurring issues related to workplace injuries, leave usage, and return-to-work processes.
- Work collaboratively with HR Team members, Safety, Payroll, Benefits, managers, and insurance providers.
- Stay current on applicable workers' compensation, FMLA, leave, and disability administration requirements.
- Assist with audits and other HR compliance activities related to leave and workers' compensation administration.
- Perform other duties and responsibilities as assigned.
Position Requirements:
- License:Valid state driver's license as required by job conditions or by the company.
- Certification: Professional in Human Resources (PHR) certification preferred.
- Education:High School Graduate or GED. Associate or bachelor's degree in Human Resources, Business Management, or related field preferred.
- Experience: 2-4 years of experience in Human Resources, workers' compensation, leave administration, benefits administration, insurance, or a related field preferred.
