We are currently seeking an Office Manager to join our Calgary Studio. The ideal candidate brings strong writing and editing skills, as well as a deep understanding of creating compelling proposals.

Job Summaryย 
We are seeking a highly organized and service-oriented Office Manager to support the day-to-day operations of our studio. This role provides administrative, facilities, and basic IT support while ensuring a professional, efficient, and welcoming workplace.
You will work closely with Partners, leadership, and cross-functional teams, playing a key role in maintaining smooth operations and contributing to a positive, collaborative studio culture.

Key Responsibilities
Administration & Coordination
  • Provide administrative support to leadership, including scheduling, travel, and correspondence.
  • Coordinate meetings, events, and engagement logistics (including catering and materials).
  • Maintain organized filing systems, internal documentation, and client databases.
  • Prepare and format reports, presentations, and firm documents.
  • Support onboarding processes in collaboration with HR.
  • Assist Accounting, Marketing, and HR teams as needed.
  • Manage mail, courier services, and deliveries.
Office Operations & Reception
  • Oversee daily office operations, including workspace coordination and office upkeep.
  • Maintain shared spaces (boardrooms, kitchen, print areas) and office equipment.
  • Monitor and order supplies, manage inventory, and liaise with vendors.
  • Serve as the first point of contact for clients and visitors, providing a welcoming experience.
  • Support planning of studio events, team activities, and initiatives.
Technology & IT Support
  • Set up computers, mobile devices, and peripherals for staff.
  • Provide basic IT support (troubleshooting hardware, software, and office equipment).
  • Maintain IT asset inventory and support technology-related coordination.
  • Assist with mobile account administration and device management.
Team + Culture
  • Participate in firm-wide marketing initiatives and brainstorming sessions.
  • Able to work in a collaborative, in-office environment, ย actively participating in team discussions, project meetings, and studio activities to support project delivery and client service.
What You Bring
  • 5+ years of experience in office administration, executive support, or facilities coordination.
  • Strong proficiency in Microsoft Office (Teams, Word, Excel, PowerPoint, Outlook).
  • Excellent organization, multitasking, and attention to detail.
  • Basic IT troubleshooting skills.
  • Reliability, dependability, and consistent attendance are essential requirements of this position.
  • Strong communication and interpersonal skills with a professional, approachable demeanor.
