Law Firm Administrator

LAW FIRM SEEKING AN EXPERIENCED LAW FIRM ADMINISTRATOR

MacDonald Illig Jones & Britton LLP, the largest law firm in Northwest Pennsylvania, is seeking an experienced Law Firm Administrator to join our management team. This key position would manage the business and operations management functions as well as the overall administrative operations of the firm, reporting directly to the Managing Partner and the firm's Management Committee. The Law Firm Administrator identifies and plans for the changing needs of the organization, provides assistance with strategic planning, practice management and financial management, and contributes to cost-effective management throughout the organization.

General Areas of Responsibilities

  • Financial Management:

Includes planning, forecasting, preparing annual operating budget, variance analysis, profitability analysis, rate analysis, financial analysis and reporting, accounting statements review, billing and collections, accounts payable, cash flow control, banking relationships and recommendations, investments, checking accounts, 401(k) plan administration, tax credit programs, condominium association accounting and other financial management functions. Works in conjunction with Chief Financial Officer.

  • Human Resource Management:

Involved in staffing and resource recommendations, recruiting, selection, performance evaluations, salary and benefits administration, employee relations, counseling, oversight of disciplinary matters, job design, resource allocation and other human resource management functions for the support staff. Human Resources Manager reports to Law Firm Administrator.

  • Systems Management:

Includes systems analysis, operational audits, cost/benefit analysis, computer systems design and development, network infrastructure, information storage and retrieval, hardware and software recommendations, on-line research services, records management, library management, document management systems, telecommunications, cellular services, litigation support, legal practice systems and other systems management functions. IT staff reports to Law Firm Administrator.

  • Facilities Management:

Includes space planning and design, construction management, purchasing, lease negotiations, parking space allocation, records storage, telecommunications, HVAC systems, condominium association building management matters and other facilities management functions.

  • General Management:

Includes strategic and tactical planning, organizational development, firm insurance policies, and other general management functions. Prepares agendas for, attends and takes minutes of all Firm, Partner, and Management Committee meetings. Prepares agendas for Practice Group Leaders/Strategic Planning Meetings.

  • Practice Management:

Includes lawyer recruiting, lawyer training and development, professional standards, practice group and attorney business plans, workload surveys and other practice management functions.

  • Marketing:

Assists as needed with client development, client surveys, website development, marketing legal services and enhancing the firm's visibility and image. Marketing Manager reports to Law Firm Administrator.

Qualifications

  • Bachelor's degree in business administration or related discipline preferred. Master's in business administration (MBA) and/or professional certifications a definite plus, including certified legal manager (CLM) designation.
  • Minimum of 5 years' work experience managing the business functions of a professional services organization, preferably a law firm.
  • Able to identify and analyze complex issues and problems in management areas and recommend and implement solutions.
  • Able to manage office functions economically and efficiently, organize work, establish priorities and maintain good interpersonal relations and communications with lawyers and support staff.
  • Displays excellent supervisory and leadership skills, as well as skills in written and oral communications.
  • Strong financial analysis background and highly proficient with Excel.
  • Experience with Aderant Expert financial and legal software a definite plus.
  • Willing to work evening and weekend hours when required.
  • Demonstrated willingness and ability to delegate.
