Firm Administrator

Direct Counsel is seeking a Firm Administrator to join a well-established litigation law firm in Claremont, California. This is an excellent opportunity for an experienced legal operations professional to oversee the firm's day-to-day business operations, human resources, and administrative functions while partnering with firm leadership to support continued growth and operational excellence.

The ideal candidate is a proactive leader with strong organizational, management, and communication skills who thrives in a fast-paced legal environment.

Office Location: Claremont, CA

Key ResponsibilitiesFirm Operations
  • Oversee the daily administrative and business operations of the firm.
  • Partner with firm leadership to develop and implement short- and long-term operational goals.
  • Ensure firm policies and procedures are consistently followed.
  • Maintain effective communication across all departments.
  • Supervise administrative operations for multiple office locations.
Human Resources
  • Manage recruiting and onboarding processes.
  • Assess staffing needs and coordinate employee scheduling.
  • Maintain employee personnel files and HR documentation.
  • Conduct employee performance evaluations, including 90-day and annual reviews.
  • Oversee employee offboarding processes.
  • Review employee timecards and approve overtime.
  • Maintain and update the employee handbook to ensure regulatory compliance.
Administration & Vendor Management
  • Serve as liaison with the firm's insurance providers and outside vendors.
  • Assist attorneys with regulatory renewals and compliance requirements.
  • Maintain firm case lists and administrative records.
  • Coordinate firm events and participation in community and professional organizations.
Qualifications
  • High school diploma required; bachelor's degree preferred.
  • 5+ years of office management experience required.
  • 2+ years of human resources experience or experience in a similar role required.
  • Prior law firm experience is strongly preferred.
  • Understanding of litigation processes, legal terminology, and law firm operations.
  • Strong leadership and supervisory skills.
  • Excellent written and verbal communication abilities.
  • Exceptional organizational skills with strong attention to detail.
  • Proficiency with Microsoft Office Suite and legal software.
  • Ability to maintain confidentiality and exercise sound judgment.

Compensation
