Job description

Summary

The Department of Medicine is seeking a talented Coordinator, Business Operations to provide comprehensive administrative support to division leadership across multiple divisions within the Department of Medicine. The role serves as a key coordinator for leadership activities, meetings, communications, and annual division events. The coordinator works collaboratively with faculty, staff, and departmental leadership to ensure efficient operations and successful execution of divisional priorities and initiatives.

This role is eligible for a hybrid work arrangement an initial training period of 90 days.

Job Duties

Leadership Support 
• Provide administrative and operational support to Division Chiefs and division leadership across multiple divisions.
• Manage calendars, coordinate meetings, and prepare agendas, presentations, reports, and meeting materials.
• Draft and distribute leadership communications, announcements, and correspondence.
• Track action items and support implementation of divisional priorities and special projects.

Event and Meeting Management 
• Lead planning and execution of annual division retreats, faculty meetings, recognition events, and other division-sponsored programs.
• Coordinate event logistics, including scheduling, venues, catering, registration, materials, and attendee communications.
• Develop event timelines and ensure successful execution of divisional activities and special events.

Administrative Operations 
• Assist with development and distribution of divisional communications, newsletters, and presentations.
• Maintain and update division websites, faculty profiles, and program information.
• Coordinate travel arrangements, expense reimbursements, purchasing requests, and other administrative processes.
• Perform other duties and special projects as assigned.

Minimum Qualifications
  • High School diploma or GED.
  • Two years of relevant experience.
Preferred Qualifications

• Ability to display a professional, positive attitude with strong interpersonal skills and communication skills required and must be able to work independently and collaboratively to meet deadlines.
• Highly detail-oriented, self-motivated, efficient, and strong organizational skills.
• Demonstrates high degree of flexibility in accepting work assignments with the ability to effectively prioritize tasks, understand processes, and resolve issues.
