Job Title

Secretary for Superior Court Judge

Job Description

The Middlesex Vicinage is seeking a well-organized, detail-oriented secretary to provide support to a Superior Court Judge. The selected candidate will operate a personal computer or computer terminal for processing information; typing correspondence, documents, and form letters; transcribing dictation; preparing required reports; sorting and viewing mail, letters, and other documents and following up as appropriate; facilitating movement of case related matters. Performs other related duties as required. Note: Knowledge of legal terminology and working knowledge of Microsoft Office is helpful.

Example of Duties

Processing information.

Typing correspondence, documents, and form letters.

Transcribing dictation.

Preparing required reports.

Sorting and viewing mail, letters, and other documents.

Facilitating movement of case related matters.

Additional duties as assigned.

Qualifications

Three (3) years of experience in an office environment performing a variety of clerical and support services to include keyboarding and one or more of the following: preparing and analyzing legal documents, processing legal or other documents, transcribing information, and scheduling meetings or appointments. Substitution: Successful completion of a clerical training program with a minimum of 700 classroom training hours or 30 semester hour credits in secretarial science may be substituted for one (1) year of experience indicated above. Course work must include typing skills, methods, and procedures; other courses may include, but are not limited to, office procedures, word processing, and business English. Testing: Applicants selected to interview must pass an appointing authority administered examination to demonstrate typing skills of at least 40 words per minute or possess proof of having taken the required skills test (for example, the New Jersey Civil Service Commission or New Jersey Judiciary typing proficiency certificate). Note: Knowledge of legal terminology and working knowledge of Microsoft Office is helpful.

Supplemental Information

Driver's License: Appointee will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle is necessary to perform essential duties of the position. Authorization to Work: US citizenship is not required. Selected candidate must be authorized to work in the US according to Department of Homeland Security, US Citizenship and Immigration Services regulations. Special Note: Newly hired employees must agree to a thorough background check that will include fingerprinting. All data received will be kept in strict confidence except to inform the individual of the findings and what action will be taken as a result of this information. Residency Law: In accordance with N.J.S.A. 52:14-7 (L. 2011, Chapter 70), the "New Jersey First Act," all persons newly hired by the Judiciary within one year must establish, and then maintain, principal residence in the State of New Jersey. Any person may request an exemption from that requirement from the Employee Residency Review Committee in the Department of Labor & Workforce Development on the basis of either hardship or employer critical need.
