Responsibilities:

  • Manage complex, ever-changing calendars for one or more executives, scheduling and prioritizing meetings, table reads, screenings, production check-ins, and travel across multiple time zones

  • Serve as a primary point of contact for internal teams and external partners, including studios, producers, talent representatives, and agencies, exercising sound judgment and discretion at all times

  • Coordinate domestic and international travel arrangements, including detailed itineraries, for production-related trips and location visits

  • Prepare, proofread, and distribute correspondence, memos, presentations, and other documents on behalf of the executive(s)

  • Track and help manage department budgets, expense reports, invoices, and purchase orders in partnership with Production Finance

  • Anticipate the needs of the executive(s) and proactively solve scheduling conflicts or logistical issues before they arise

  • Liaise with other Executive Assistants and support staff across the department and studio to ensure smooth coordination of cross-functional projects

  • Handle highly confidential and sensitive information regarding talent, projects, and business matters with the utmost discretion

  • Assist with onboarding of new hires, vendors, and consultants, including processing paperwork and coordinating access and equipment

  • Provide general administrative support, including expense reconciliation, supply ordering, and file organization

  • Support special projects and department initiatives as assigned

Qualifications:

  • 3+ years of experience as an Executive Assistant or in a similar administrative support role, ideally within film, television, or broader entertainment/media production

  • Familiarity with the development and production process for scripted and/or unscripted film and television content is strongly preferred

  • Exceptional organizational skills with the ability to manage multiple priorities and shifting deadlines in a fast-paced environment

  • Strong written and verbal communication skills, with the ability to interact professionally with executives, talent, and external partners

  • High level of discretion, diplomacy, and professionalism when handling confidential information

  • Proficiency with Microsoft Office suite (Outlook, Word, Excel, PowerPoint); familiarity with Concur or similar expense/travel platforms a plus

  • Strong calendar management skills, including experience coordinating across multiple time zones

  • Ability to work independently, anticipate needs, and exercise good judgment with minimal supervision

  • Flexibility to work occasional evenings or weekends as production schedules require

  • Positive, can-do attitude with strong interpersonal skills and the ability to build relationships across all levels of the organization

Required Education:

  • Bachelor's degree preferred, or equivalent professional experience in lieu of a degree
