Job description

POSITION SUMMARY: The IT Program Coordinator is responsible for coordinating, monitoring, and supporting IT-related projects across the organization. This role ensures projects are delivered on time, within scope, and in alignment with organizational goals. The IT Program Coordinator will serve as the primary liaison between IT leadership, project stakeholders, vendors, and end-users. Duties include planning, scheduling, documenting, and tracking project tasks, while providing regular updates to management and ensuring compliance with IT policies and procedures.

ESSENTIAL JOB FUNCTIONS: The list below provides a representative summary of the major duties and responsibilities. The incumbent(s) will be required to perform a variety of duties listed, including but not limited to:

  • Coordinate IT projects in collaboration with the IT Manager, IS Manager, and Lead System Administrator.
  • Track project deliverables and ensure deadlines are met.
  • Facilitate communication between IT staff, vendors, and organizational stakeholders.
  • Prepare and maintain detailed project documentation, including requirements, status reports, and post-project reviews.
  • Support the evaluation, selection, and implementation of IT systems and tools.
  • Assist with budget monitoring and procurement for project-related hardware, software, and services.
  • Monitor risks, issues, and dependencies, escalating concerns as needed.
  • Utilize the helpdesk ticketing system for project-related requests and tasks.
  • Ensure compliance with IT security protocols, data privacy standards, and organizational policies.
  • Provide support in training end-users on new systems or technologies deployed through projects.
  • Provide support in training System Administrators and Helpdesk personnel in management of new systems or technologies to better support users.
  • Contribute to continuous improvement efforts by recommending process enhancements and tools.
  • Perform project equipment installation and testing as needed.
  • Create test demonstration and equipment mockups as needed.
  • Coordinate, schedule and oversee contract work to ensure contractor access to areas of buildings where work is to be performed, quality of work and NVIH standards are being met.
