Responsibilities:
The Music, Mind, and Medicine (3M) Laboratory seeks a highly organized, proactive, entrepreneurial, and mission-driven Clinical Trials Project Manager II to help build and manage an innovative interdisciplinary research program at the intersection of music, neuroscience, mental health, neurodevelopment, rehabilitation, and precision medicine.The position will serve as the operational and organizational hub of the laboratory, partnering closely with the Principal Investigator to coordinate a diverse portfolio of research activities spanning clinical studies, large-scale data science, brain imaging, translational technologies, and community-based initiatives. Responsibilities will include overseeing research operations, coordinating grant and manuscript submissions, managing budgets and regulatory activities, facilitating collaborations across institutions, and supporting trainees, staff, and research participants.
This position offers a unique opportunity to contribute to a rapidly growing field that seeks to understand how music and the arts influence the brain, behavior, and human health across the lifespan. The successful candidate will play a central role in shaping the future of the laboratory and its collaborations with researchers, clinicians, and community partners across the University of Rochester School of Medicine and Dentistry and the Eastman School of Music.
The ideal candidate is someone who thrives in a dynamic, fast-paced environment; enjoys managing complex projects and collaborating with diverse teams; and is excited by the opportunity to help build a high-impact research program with the potential to transform research, clinical care, and human well-being.
Depending on prior experience, interests, and expertise, the successful candidate will have opportunities to contribute to and/or take a leading role in scholarly activities, including conference presentations and peer-reviewed publications. The position will provide exposure to a wide range of advanced research methods and datasets, including one of the world's largest deep-phenotyping databases on music and health with over 200,000 participants, as well as advanced neuroimaging studies utilizing a head-only SIGNA MAGNUS MRI system. The laboratory values mentorship, intellectual curiosity, and professional growth, and seeks candidates who are excited to grow alongside an ambitious and collaborative research program.
ESSENTIAL FUNCTIONS
Research Operations & Project Management- Coordinate day-to-day laboratory operations.
- Develop and maintain project timelines and milestone tracking systems.
- Monitor progress across multiple research studies simultaneously.
- Maintain laboratory documentation and project records.
- Track deliverables across grants, manuscripts, and research projects.
- Assist with onboarding and coordination of students, interns, volunteers, and research staff.
- Coordinate activities involving community organizations, healthcare systems, and external stakeholders.
- Maintain a laboratory-wide grant submission calendar.
- Coordinate preparation and assembly of grant applications.
- Track funding opportunities relevant to the laboratory.
- Obtain letters of support and supporting documentation.
- Coordinate grant-related communication with institutional offices.
- Assist with progress reports and annual reports.
- Maintain records of grant budgets and expenditures.
- Coordinate manuscript submissions and revisions.
- Track publication pipelines and journal correspondence.
- Manage author information and supporting documentation.
- Maintain laboratory publication records and reporting metrics.
- Coordinate IRB submissions, amendments, renewals, and continuing reviews.
- Maintain regulatory documentation for all active studies.
- Ensure compliance with institutional, federal, and sponsor requirements.
- Track required study approvals and deadlines.
- Assist with the organization of laboratory seminars, workshops, and conferences.
- Coordinate visiting scholars and guest speakers.
- Support dissemination activities and public engagement initiatives.
- Monitor project expenditures and budgets.
- Coordinate equipment purchases and laboratory procurement.
- Track invoices, reimbursements, and purchase requests.

MINIMUM EDUCATION & EXPERIENCE
- Bachelor's degree and 2 years of relevant experience required

- Knowledge of Good Clinical Practice, protocol planning, implementation, coordination, evaluation, and reporting of clinical trials required
- Strong communication skills, interpersonal skills, attention to detail, time-management and organization skills required
- Ability to manage multiple projects and deadlines simultaneously preferred.
- Proficiency with Microsoft Office Suite and project management software preferred.
LICENSES AND CERTIFICATIONS
- CCRP - Certified Clinical Research Professional upon hire preferred
