Job description

Position Summary

Helene Fuld College of Nursing seeks an experienced higher-education professional to serve as the Assistant Vice President (AVP) for Student Information Systems. This position oversees the configuration, administration, and continuous improvement of the Collegeโ€™s Student Information System (SIS) Anthology to support Admissions, Registrar, Financial Aid, Student Accounts, and Academic Affairs.

The AVP will play a pivotal role in ensuring operational excellence, regulatory compliance, and data integrity across the student lifecycle. The ideal candidate will combine a strong understanding of higher education processes with hands-on technical and analytical skills, someone who can troubleshoot and resolve SIS issues independently, collaborate across departments, and enhance system usability through training and documentation.

Key Responsibilities

System Administration & Configuration

  • Serve as the primary administrator and subject-matter expert for the Collegeโ€™s Student Information System (Anthology).
  • Configure system components, including calendars, catalog years, courses, grading scales, start dates, and academic terms.
  • Create and manage hold groups and hold messages within the self-service portal.
  • Ensure LMS (Canvas) integration accuracy and verify that faculty, courses, and students are synced before each semester.
  • Troubleshoot data and system errors and implement solutions.

Admissions & Enrollment Management

  • Build new student records.
  • Provide and update online registration instructions for student distribution.
  • Collaborate with Admissions, Registrar, and Financial Aid to ensure smooth enrollment workflows and policy compliance.

Registrar & Academic Operations

  • Manage and submit enrollment and degree verification reports through the National Student Clearinghouse to maintain compliance with enrollment reporting deadlines.
  • Update student statuses as needed and assist with enrollment changes to ensure records flow properly to Canvas.
  • Support class scheduling and term setup.
  • Add faculty and adjuncts to the system for LMS synchronization.
  • Configure faculty access to post final grades and attendance after semester close.
  • Generate class roster reports and academic data for program directors and administrators.

Financial Aid & Student Accounts

  • Collaborate with Financial Aid to configure communication templates, troubleshoot SIS and data issues, and generate departmental reports.
  • Coordinate with Student Accounts to create student groups, configure billing task templates, and issue billing notifications according to the master academic calendar.
  • Assists in ensuring that financial aid and account configurations align with compliance requirements.

Training, Support & User Engagement

  • Develop user-friendly training materials and short instructional videos for students, faculty, and staff to enhance SIS adoption and orientation.
  • Conduct demonstrations on how to use the self-service portal.
  • Provide system training to new faculty and administrative users on posting grades, attendance, and managing holds.
  • Offer ongoing support to departments and resolve functional issues impacting system users.

Faculty & Academic Department Collaboration

  • Attend AAS and GBS unit meetings as needed.
  • Support faculty in posting attendance and final grades.
  • Provide rosters and data reports for clinical assignments.
  • Communicate instructions for releasing academic advisement holds and using the self-service portal.

Qualifications

  • Bachelorโ€™s degree required; Masterโ€™s degree preferred in Higher Education Administration, Information Systems, Computer Science, or a related field.
  • Minimum 5 years of experience in higher education managing or administering student information systems.
  • Strong understanding of enrollment management, registrar operations, financial aid processes, and compliance reporting.
  • Demonstrate ability to analyze, configure, and troubleshoot SIS issues independently.
  • Excellent interpersonal, organizational, and problem-solving skills.
  • Proven ability to communicate complex technical information clearly to non-technical audiences.

Preferred Skills & Experience

  • Experience with Anthology, CampusNexus, Jenzabar, Ellucian, or similar SIS platforms.
  • Familiarity with Canvas or other LMS platforms.
  • Understanding of FERPA, Title IV, and other higher-education compliance standards.
  • Strong data management and reporting skills.
  • Experience developing training videos or user guides for staff and students.

Salary Range: $90,000- $110,000
