Job Title: USA - Shipping Associate IIJob Description

The Shipping Associate II coordinates internal and external shipping arrangements for international orders while ensuring strict compliance with U.S. and foreign government regulations. This role manages the end-to-end supply chain process, including preparing customs documentation, coordinating with freight forwarders and carriers, and monitoring shipments to ensure timely delivery. The position focuses on optimizing shipping costs, preventing border delays, and troubleshooting transit and supply chain disruptions across multiple currencies and time zones.

Responsibilities
  • Pick, pack, and ship international customer orders accurately and efficiently.
  • Prepare and verify commercial invoices, certificates of origin, and customs declarations to prevent border delays and unexpected duties.
  • Book and track international shipments via air, sea, and land freight, ensuring on-time delivery.
  • Coordinate directly with freight forwarders and carriers to manage shipment schedules and resolve transit issues.
  • Oversee the full order lifecycle from order entry through shipment notifications across multiple currencies and time zones.
  • Manage customer-requested shipping and tracking information and communicate updates clearly and promptly.
  • Ensure all U.S. and foreign customs export/import requirements are met, including compliance with United States Export Administration Regulations.
  • Determine Export Control Classification Numbers (ECCN) for products and ensure proper classification for export.
  • Review customer shipping instructions carefully and follow them to ensure high levels of customer satisfaction.
  • Prepare all export documentation for overseas orders as required by U.S. and foreign freight companies.
  • Create and modify customer invoices daily using Adobe Acrobat or Kofax software.
  • Identify, address, and resolve issues with carriers to maintain smooth shipping operations.
  • Escalate issues that cannot be resolved independently to the warehouse supervisor in a timely manner.
  • Apply global trade knowledge, including Incoterms, Harmonized System (HS) codes, and export/import regulations, to daily shipping activities.
  • Use shipping and office software systems such as FedEx Ship Manager and UPS WorldShip to process and manage shipments.
  • Communicate effectively with internal operations, overseas vendors, freight companies, and international clients, including those using English as a second language.
  • Maintain strong awareness of United States Export Administration Regulations and Department of Transportation regulations relevant to shipping activities.
Essential Skills
  • Strong experience with picking, packing, and shipping in an international shipping and receiving environment.
  • Practical knowledge of inventory handling and warehouse operations.
  • Ability to operate or work around forklift equipment in a shipping and receiving setting, if required by the facility.
