Position Overview

A privately held international company is seeking an experienced, highly discreet Executive Assistant to support its President.


This is a high-trust role requiring exceptional judgment, confidentiality, responsiveness, and follow-through. The ideal candidate is proactive, task-oriented, and able to anticipate needs without waiting for detailed instructions.


The Executive Assistant will manage the President’s schedule, communications, travel, priorities, and sensitive business matters while protecting his time, privacy, and professional interests.


Key Responsibilities

  • Manage the President’s calendar, meetings, appointments, reminders, and priorities
  • Coordinate domestic and international travel, transportation, and itineraries
  • Track commitments, deadlines, action items, and follow-up
  • Screen and prioritize calls, messages, meeting requests, and communications
  • Prepare and organize correspondence, reports, presentations, and meeting materials
  • Anticipate needs, identify issues, and resolve routine matters independently
  • Coordinate with employees, executives, vendors, customers, and international colleagues
  • Handle confidential business and limited personal matters with discretion
  • Assist with local appointments, errands, and transportation throughout Miami
  • Remain accessible and responsive by text throughout the business day
  • Complete special projects and sensitive assignments with minimal supervision
