Description

At Great Waters Financial, the Events Coordinator is responsible for the planning, logistics, and execution of all company events designed to engage prospects, clients, and referrals. This role plays a key part in supporting the Marketing Department's communication and engagement strategies by delivering high-quality, on-brand events, from small educational seminars and dinner workshops to large-scale conferences and client events. The Events Coordinator manages all event operations from concept to completion, including vendor management, CRM data tracking, and administrative support, ensuring seamless and impactful experiences that strengthen relationships and drive business growth.


Responsibilities:


Event Planning & Execution

  • Plan, organize, and execute a variety of company events
  • Develop event timelines, schedules, and checklists to ensure all logistics are executed smoothly.
  • Coordinate with internal teams and external partners to align event goals with marketing and business objectives.
  • Oversee event setup, on-site coordination, and post-event wrap-up, including evaluations and reports.

Vendor & Relationship Management

  • Source, vet, and manage relationships with event related vendors.
  • Negotiate contracts and ensure vendors meet quality and service standards.
  • Build and maintain strong professional relationships with community partners, venues, and other key event partners.

CRM & Data Management

  • Manage the CRM system to ensure accurate tracking of event attendees, leads, and follow-up actions.
  • Maintain and update event data, registration lists, and contact records.
  • Analyze event performance metrics and prepare reports to inform marketing strategy and ROI assessments.

Administrative Support

  • Coordinate all administrative aspects of event management, including budgeting, invoicing, and documentation.
  • Prepare marketing materials and coordinate event communications in collaboration with the Communications and Engagement Manager and the Digital Marketing Specialist.
  • Manage event calendars and assist with general marketing department tasks as needed.
  • Organize and maintain inventory of marketing materials for events and office supplies. 

Requirements

  • Bachelor's degree in Marketing, Communications, Event Management, or a related field preferred.
  • 2-4 years of experience in event coordination, marketing, or a similar role.
  • Strong organizational skills with proven ability to manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with a customer service mindset.
  • Experience working with CRM systems and data management tools.
  • Ability to work occasional evenings for events.
  • Detail-oriented, resourceful, and adaptable under pressure.


Pay Transparency Statement

The salary range for this role is $55,000.00 - $75,000.00 annually. In addition, Great Waters offers employees a 401k plan with an employer matching schedule, Medical, Dental, and Vision insurance, 10 paid company Holidays, an annual wellness stipend, and paid-time off. This position is eligible for a discretionary annual bonus driven by organization and individual performance.
