Job description

We are looking for a highly organized and detail-orientedProject Coordinator to support Field Services teams in the planning, tracking, and execution of projects. This role is ideal for someone with a strong administrative background, financial acumen, and a keen understanding of project workflows. You will play a key role in ensuring project documentation, budgets, and timelines are well-managed and communicated.

Key Responsibilities:

Project Coordination:

  • Assist in the development and maintenance of project schedules and work plans
  • Track project progress, deliverables, and deadlines
  • Coordinate meetings, prepare agendas, and document action items

Financial Tracking & Reporting:

  • Assessing proposal documents, awarded contract documents, and ensuring appropriate billing rates, milestones, project phases, and other key information is correctly entered into the Customer Relationship Management (CRM) software for project setup.
  • Monitor project budgets, expenditures, and forecasts. Preparing project change notifications and change orders including developing supporting documentation.
  • Support finance and PowerBI reporting to ensure project costs and revenues are correctly presented per contract documents: ensuring staff billing rates appear correctly on each project, markups on 3rd party expenses are correct, etc.
  • Prepare supporting documentation for invoices including progress milestone documents, compiling relevant expense documents.
  • Act as departmental super-user for CRM and software systems: prepare training materials on CRM systems for other staff when needed.

Administrative Support & Document Control:

  • Maintain organized project documentation and records
  • Ensuring project team members adhere to document management requirements within projects
  • Prepare reports, presentations, and correspondence for internal and external stakeholders
  • Support onboarding and coordination of staff onto projects, including scope/schedule/budget coaching, document control awareness, and revision management systems

Communication & Collaboration:

  • Act as a liaison between engineering, finance, procurement, and other departments
  • Facilitate clear and timely communication across project teams
  • Support issue tracking and resolution processes
