What are intake specialists?

Intake specialists are professionals who serve as the first point of contact for clients or patients seeking services from an organization, such as a healthcare facility, law office, or social services agency. They gather essential information, assess needs, and determine eligibility for services. Intake specialists also help guide clients through the initial steps of the service process, ensuring accurate documentation and effective communication between clients and the organization.

Professionals in an Intake role often encounter challenges such as handling high volumes of inquiries, accurately gathering detailed client information, and prioritizing cases based on urgency. Effective time management, strong communication skills, and attention to detail are crucial for success. Collaborating closely with other departments and using case management software can help streamline the intake process, minimize errors, and ensure a positive experience for clients and the organization.

What are the key skills and qualifications needed to thrive as an Intake Specialist, and why are they important?

To thrive as an Intake Specialist, you need strong organizational skills, attention to detail, and a background in customer service or social services, often supported by a relevant degree or work experience. Intake Specialist

Birmingham, Alabama, United States

About Us: Wettermark Keith is a rapidly growing national personal injury firm. We pride ourselves on our integrity, professionalism, and commitment to excellence. At Wettermark Keith, we understand that our work extends far beyond the courtroom. We engage with people during some of the most challenging times of their lives โ€“ moments filled with uncertainty, fear, and stress. Our clients come to us in the aftermath of tragic accidents, seeking not just legal representation, but a beacon of hope for their future.

Purpose: The Intake Specialist is the first and most critical point of contact for prospective clients. This role is sales-driven and focused on converting inbound leads into signed clients. Working closely with team leads and management, the Intake Specialist evaluates potential claims, builds rapport, overcomes objections, and confidently guides qualified individuals through the sign-up process.

This position requires strong closing skills, attention to detail, and the ability to thrive in a fast-paced, performance-based call center environment. Compassion, persistence, and follow-through are essential to successfully convert opportunities while delivering an exceptional client experience.

This is a full-time, in-person position in our Birmingham office. We offer two shifts Monday through Friday: (1) 9:00am - 6:00pm CT; and (2) 10:00am - 7:00pm CT.

  • Evaluate potential cases using established qualification criteria.
  • Confidently present next steps and close qualified prospects over the phone.
  • Handle a high volume of inbound calls while maintaining conversion goals.
  • Follow up with prospective clients via phone, email, chat, and text to drive sign-ups.
  • Overcome objections and build urgency to secure commitments.
  • Coordinate intake appointments with attorneys when needed.
  • Maintain detailed and accurate records in the CRM system.
  • Deliver a high-quality client experience that drives satisfaction and referrals.

Required Skills & Competencies:

  • Proven sales ability with strong closing skills.
  • Comfortable working toward performance metrics and conversion goals.
  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to multitask and stay organized in a fast-paced environment.
  • Strong time management and follow-up discipline.
  • Confident, persuasive, and resilient mindset.
  • Sound judgment and professional discretion.

Education & Experience:

  • 1โ€“3 years of experience in sales, call center, customer service, or client-facing roles.
  • Experience in a high-volume inbound sales environment strongly preferred.
  • Law firm intake or legal call center experience is a plus.
  • Bachelor's degree preferred.

Language:

  • Spanish (Preferred)
  • English (Required)
