Application Instructions
The Receptionist provides professional front desk and administrative support to ensure the efficient day-to-day operation of the office. As the first point of contact for visitors, clients, vendors, and employees, this role represents the company by delivering exceptional customer service and maintaining a welcoming and professional environment. The Receptionist is responsible for managing communications, coordinating administrative activities, and performing a variety of clerical duties that support organizational operations and contribute to a productive workplace
Position Description
Front Desk & Visitor Services
    • Maintain a professional and welcoming environment for all guests, clients, and vendors.
    • Greet visitors and direct them to the appropriate department or team member.
    • Answer and route incoming telephone calls to the appropriate personnel.
    • Respond to general inquiries and ensure calls are handled promptly and professionally.
    • Provide visitors and callers with general company information, including office location, directions, contact information, and website details.

Mail & Shipping Coordination
    • Receive, sort, and distribute incoming job packets, emails, mail, and faxes.
    • Coordinate the pickup and delivery of overnight and express mail services, including FedEx, UPS, and other carriers.
    • Print and file the UPS end-of-day report daily.

Administrative & Clerical Support
    • Update the Cash Log daily.
    • Monitor office supply inventory and order as needed.
    • Provide general administrative support, including photocopying, filing, scanning, faxing, and document preparation.
    • Coordinate and schedule shared meeting and event spaces, including conference rooms, the multipurpose room, and the pavilion as needed.
    • Prepare and send event invitations to support company meetings, activities, and special events as needed.
    • Maintain records of employee lunch charges and distribute monthly balance notifications.
    • Assist with other clerical and administrative duties as assigned.

Position Requirements
Education & Technical Skills
    • High school diploma or GED equivalent required.
    • Proficiency with computers and standard office equipment.
    • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and other related software.

Communication Skills
    • Strong verbal communication skills, including the ability to communicate effectively in person and over the telephone.
    • Bilingual proficiency in English and Spanish is preferred.
    • Strong listening skills with the ability to provide accurate information and respond professionally to inquiries.

Physical & Work Environment Requirements
    • Ability to sit, stand, walk, reach, and work at a computer for extended periods.
    • Ability to occasionally lift up to 25 pounds.
    • Ability to read printed and electronic documents with sufficient visual acuity.
    • Ability to perform repetitive tasks associated with computer and office work.
