Executive Assistant (To The President)

The purpose of this job is to support the President with administrative and operational tasks, so the President can focus on strategic company growth and operations.

  • Provide comprehensive administrative support to the President and Regional Vice Presidents (business and personal matters) including but not limited to:
    • Calendar management and scheduling
    • Travel planning and coordination
    • Meeting logistics and preparation
    • Expense management
  • Administer internal and external communications on behalf of the President and Regional Vice Presidents, including email and phone correspondence, meeting scheduling, presentation materials, and follow-up communications; serving as a key point of contact and delivering exceptional client experiences through professional, responsive, and effective communication.
  • Develop and maintain positive relationships with clients and their staff while ensuring accurate and up-to-date information is maintained within the CRM system.
  • Prepare materials, agendas, and binders for leadership team quarterly retreats and other executive meetings.
  • Create detailed briefing information to ensure President is informed and prepared.
  • Coordinate personal and professional errands on President's behalf (example: vehicle maintenance, dry cleaning coordination, gift giving, reservations, etc.).
  • Execute special projects and assignments.
  • Professional handling of confidential, sensitive, personal, and proprietary information.

What knowledge, skills, and abilities you'll bring:

  • Associates Degree or Bachelor's degree preferred or equivalent experience.
  • Preferred: Previous experience as an executive assistant.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with professionalism.
  • Ability to work independently and complete complex duties and projects with little direct supervision.
  • Ability to accurately work under pressure in meeting deadlines.
  • Must have excellent organizational and communication skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint, Teams).
  • High attention to detail.
  • Occasional travel to our four regional offices (occasional overnights may be required).

Legal Requirements :

  • Valid driver's license
  • Ability to pass post-offer employment testing
  • Ability to pass a post-offer drug test
  • Ability to take and pass OSHA 30 certification
  • This is an onsite role. Must have ability to report to Cedar Rapids office Monday – Friday
