Naples Iron Works, LLC is a locally owned metal fabrication company serving Florida markets. We specialize in architectural, structural, and ornamental metal products for commercial and residential projects offering design, fabrication, and installation services. We are excited to add an Office Assistant to our supportive, close-knit team.

Schedule

  • Monday to Friday
  • 7AM – 3:30PM

The right candidate will have:

  • Minimum 2 years’ experience in an administrative or office support role
  • Strong customer service and phone skills—serving as the first point of contact for the company
  • Proficiency with Microsoft Office or Google Workspace
  • High School Diploma or equivalent
  • Ability to work efficiently in a fast-paced, hands-on environment
  • Excellent organizational and time management skills
  • Experience in a trade or construction-related industry
  • Familiarity with QuickBooks or other invoicing/scheduling software (or willingness to learn)

Typical day in the life as an Office Assistant:

  • Oversee daily office operations to ensure a positive experience for customers and staff
  • Handle all incoming phone communications, including answering, routing calls, taking messages, and providing initial company information
  • Welcome and assist walk-in visitors, suppliers, and delivery personnel
  • Coordinate scheduling for job site visits, pickups, deliveries, and meetings
  • Create and manage customer invoices and maintain accurate job/customer records using QuickBooks or similar software
  • Support preparation of quotes and work orders in collaboration with the estimating and fabrication teams
  • Maintain a clean, organized, and well-stocked front office area
  • Manage mail, deliveries, and materials tracking
  • Assist in project management activities, including customer updates and follow-ups
  • Collaborate with all NIW team members to achieve shared goals
