About the Role

At Green Arrow Financial Advisors, we deliver future-focused financial solutions that transform lives. We are seeking a motivated and detail-oriented Receptionist / Administrative Assistant to support the daily operations of our practice in Exton, PA.

This role is the operational backbone of our practice. You will keep daily workflows running seamlessly, manage front desk operations, and handle essential client communications—allowing our advisors to focus on client acquisition and building lasting relationships.

Key Responsibilities

  • Elevates the Client Experience: Manage front desk operations to ensure a welcoming environment. Greet clients promptly and professionally, handle incoming calls, and conduct appointment reminder calls and follow-up check-ins. (Alternative headers: Drives the Client Experience or Delivers Exceptional Service)
  • Master the Schedule: Efficiently coordinate calendars, manage office schedules, and schedule client appointments.
  • Administrative & Practice Support: Prepare business correspondence for advisor review and signature. Copy, track, and manage client and practice materials, including new business correspondence.
  • Operations & Collaboration: Communicate and follow up with the Ameriprise home office, assist with ongoing projects, and provide general office support (filing, copying, printing, organizing) for the team.

Preferred Qualifications

  • 3+ years of experience in administrative support preferred, but not required.
  • Proficient in Microsoft Office with strong time-management and organizational abilities.
  • Strong customer service skills and adept at multitasking in a fast-paced environment.
  • Ability to adhere strictly to firm policies, procedures, and regulatory requirements.
  • Positive attitude and a genuine desire to learn, grow, and contribute to the practice.
