Air Import Coordinator

Location: DFW Airport, TX

Work Schedule:

Monday – Friday, 9:00 AM – 5:30 PM (Fully Onsite)

Rotating Sunday shift (approximately 3–4 hours onsite)

Job Overview

Addison Group is hiring on behalf of our client for an experienced Air Import Coordinator. This position supports international air freight operations by managing import shipments, preparing documentation, coordinating transportation, and ensuring timely delivery. The ideal candidate has prior experience in air freight forwarding, thrives in a fast-paced environment, and is comfortable working with multiple systems and internal and external partners.

Key Responsibilities

  • Coordinate the processing of international air import shipments from arrival through final delivery.
  • Prepare, review, and distribute import documentation while ensuring accuracy and compliance with applicable regulations.
  • Arrange transportation with carriers, trucking companies, warehouses, and other logistics partners to facilitate efficient shipment movement.
  • Create shipping labels, delivery orders, invoices, and freight billing documentation as required.
  • Communicate with customs brokers, customers, and transportation providers to resolve shipment issues and maintain timely updates.
  • Enter shipment information into transportation management systems and maintain accurate electronic records.
  • Track shipments, monitor delivery timelines, and proactively address delays or discrepancies.
  • Support customer service functions by responding to inquiries and assisting with general shipment-related requests.
  • Maintain organized files and documentation while following established company procedures and compliance standards.

Qualifications

  • High school diploma or GED required.
  • At least 2 years of experience in freight forwarding with a focus on air imports or a combination of air import/export experience.
  • Experience working with freight forwarding or transportation management software such as CargoWise, AS400, or similar platforms.
  • Intermediate proficiency with Microsoft Office, including Excel, Outlook, and Word.
  • Familiarity with international shipping practices, Incoterms, customs documentation, and import/export processes.
  • Understanding of customs regulations and tariff requirements is preferred.
  • Strong organizational skills with excellent attention to detail and the ability to manage multiple priorities.
  • Effective communication and customer service skills in a fast-paced environment.

Preferred Qualifications

  • College coursework or degree in Supply Chain, Logistics, or a related field.
  • Specialized experience supporting air import operations.
  • Experience handling hazardous or regulated shipments.
  • Familiarity with international shipping practices involving Asia is a plus.
  • Bilingual language skills are a plus.
