Title: Paralegal - Immigration and Legal Operations

Employee Status: Regular Full Time

Work From Home Option: Hybrid - 2 Days/Week (40% Remote)

FLSA Status: Non-Exempt

Job Overview:

Performs tasks and oversees processes/project components for the Legal Services team under limited supervision, ensuring work is aligned to organizational standards, solving problems and roadblocks as they occur. Responsible for providing advice and counsel across various areas of law related to an organization’s legal rights and obligations, including employment law and other legal matters.
Supports the Legal Department with a primary focus on employment-based immigration coordination and legal operations, partnering closely with outside immigration counsel, Human Resources, hiring managers, and employees to facilitate timely work authorization processing and maintain compliant, well-organized case and department records.

Essential Functions:

Immigration & Employment Authorization Support
• Coordinate with outside immigration counsel regarding employment-based immigration matters, including nonimmigrant and immigrant visa filings and related work authorization processes.
• Assist with preparation, collection, review, and organization of supporting documentation for visa petitions and immigration filings, including H-1B, TN, O-1, L-1, E-3, PERM, I-140, adjustment of status, OPT/STEM OPT, and other employment authorization matters.
• Serve as a liaison among employees, candidates, Human Resources, hiring managers, and outside counsel to facilitate timely immigration processing.
• Track case deadlines, expiration dates, filing calendars, prevailing wage timelines, Labor Condition Applications, and employee work authorization renewals.
• Review draft filings and supporting documentation for completeness, consistency, and accuracy prior to submission by outside counsel.
• Coordinate execution of immigration-related forms, attestations, and signatures.
• Maintain organized and confidential immigration files and records in accordance with company policies and legal requirements.
• Assist Human Resources with onboarding processes involving foreign national employees and work authorization verification.
• Help monitor compliance with immigration-related recordkeeping and posting obligations.
• Prepare internal status reports and updates regarding pending immigration matters.
• Coordinate responses to routine requests for information and document collection from employees and outside counsel.
• Assist with immigration policy implementation and related internal processes.
Legal Department & Administrative / Operational Support
• Support attorneys and paralegals with legal department administrative and operational tasks.
• Assist with legal invoice processing, matter tracking, budget administration, and outside counsel coordination.
• Coordinate department timekeeping, scheduling, and calendar management.
• Manage legal department supply ordering, vendor coordination, and file maintenance.
• Maintain organized electronic and physical legal records, templates, and document management systems.
• Assist with preparation of correspondence, reports, presentations, and other legal department materials.
• Coordinate signatures and execution of routine legal documents.
• Support litigation, labor, regulatory, corporate governance, and contract administration projects as needed.
• Assist with responses to internal requests for information and document retrieval.
• Help maintain legal department policies, procedures, and operational workflows.
• Perform additional duties and special projects as assigned.

Qualifications:

• Bachelor’s degree, Paralegal Certificate, or equivalent combination of education and relevant experience.
• 2+ years of paralegal, legal assistant, immigration coordination, or related experience preferred.
• Experience with employment-based/corporate immigration matters strongly preferred.
• Experience working with outside counsel and cross-functional corporate teams preferred.
• Strong organizational skills and exceptional attention to detail; ability to manage multiple priorities and deadlines in a fast-paced environment.
• Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with document management or case management systems preferred.

Summary of Physical Requirements and Work Environment:

This role is primarily sedentary and performed in an office or office-like environment with no special physical demands required. The position involves extended periods of sitting with intermittent standing and walking, as well as occasional bending, reaching, and other routine movements typical of a professional workplace.
The role requires regular hand manipulation, including daily typing and repetitive hand movements while working on a computer. Occasional light lifting (generally up to 10 lbs., and infrequently up to 30 lbs.) may be required.
The work environment does not typically expose the employee to hazardous conditions. There is minimal exposure to environmental hazards such as moving mechanical parts, fumes, extreme weather, or high-risk work areas. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the role.

Pay Range / Salary: $32.00 - $35.00 per hour
