Associate Service Advisor
Overview
  • Company: California/Columbia Hydronics Co. (CHC)
  • Location: Vancouver, Washington (Full-Time, In-Office Required)
  • Schedule: Monday to Friday 7:00 a.m. to 4:00 p.m.
  • Compensation: $25.00 - $29.00 / hour (Dependent on Experience)
  • Position Type: Full-Time, No Travel Required

Job Summary
The Associate Service Advisor serves as the central hub of our service department, seamlessly connecting customers, sales teams, and field technicians. You will manage the daily logistics of dispatching service technicians and outsourced partners, oversee parts logistics and manufacturer warranty processing, and provide exceptional administrative support to keep our operations running smoothly.
Key Responsibilities
Dispatching & Scheduling Logistics
  • Coordinate Service: Process incoming requests for equipment start-ups, warranties, and training.
  • Smart Scheduling: Review technical documentation to accurately schedule service technicians and assign work tickets in company calendars.
  • Resource Planning: Partner with the Service Manager to track technician time-off and ensure steady operational coverage year-round.
  • Vendor Management: Review invoices, documentation, and lab results from third-party Contract Service Companies (CSCs).

Parts & Warranty Administration
  • Inventory Logistics: Order and track parts required for upcoming service jobs.
  • Warranty Processing: Manage Return Material Authorizations (RMAs) and process returns with suppliers for manufacturer reimbursement.
  • Quality Control: Ensure field technicians properly tag and document parts slated for warranty replacement.
  • Financial Tracking: Maintain separate, meticulous records for recoverable warranty labor and assist accounting with parts reconciliation.

Communication & Customer Support
  • Service Desk Support: Act as the primary point of contact for incoming service desk calls and customer inquiries.
  • Proactive Updates: Keep clients and internal sales teams informed of any scheduling changes or delays.
  • Team Collaboration: Maintain accurate digital job files and participate in cross-office video meetings.

Qualifications & Skills
Required:
  • Experience: Minimum 5 years of experience in business operations, administration, logistics, or a related role.
  • Education: High School diploma or equivalent.
  • Core Skills: Exceptional attention to detail, strong data entry accuracy, and the ability to multitask in a fast-paced environment.

Preferred:
  • College degree.
