HVAC Project and Sales ManagerAbout the Job

The HVAC Project and Sales Manager is responsible for overseeing the planning, coordination, and execution of HVAC projects from initial design and estimating through completion and closeout. This position ensures projects are delivered on time, within budget, and according to company quality and safety standards.

This role manages project plans, budgets, resources, field teams, subcontractors, and client relationships while working closely with estimating, operations, vendors, and other internal stakeholders. The HVAC Project and Sales Manager also supports business growth by identifying customer needs, developing solutions, and maintaining strong client relationships.

The goal of this position is to successfully deliver profitable HVAC projects while exceeding client expectations and supporting overall company objectives.

Essential Duties and Responsibilities
  • Develop and manage detailed project plans and submittals, including project scope, RFIs, schedules, workflows, and other documentation required to guide projects from initiation through final delivery.
  • Oversee project budgets, labor, materials, equipment, and other resources to ensure projects remain cost-effective and profitable.
  • Lead and coordinate project teams, including technicians, foremen, engineers, subcontractors, and other project personnel.
  • Build and maintain strong relationships with clients, vendors, contractors, subcontractors, and internal stakeholders.
  • Support sales efforts by identifying customer needs, developing HVAC solutions, assisting with estimates and proposals, and pursuing additional project opportunities.
  • Ensure all HVAC work complies with applicable industry standards, safety regulations, building codes, project specifications, and permitting requirements.
  • Conduct job site walks to evaluate project conditions and progress, review findings with the estimating and operations teams, and address safety or performance concerns.
  • Identify project risks and develop solutions to minimize delays, cost overruns, and other potential issues.
  • Monitor project schedules, milestones, and overall progress while providing regular updates to clients and senior management.
  • Track labor, material, equipment, and subcontractor costs to ensure projects remain within established budgets.
  • Review, propose, and approve modifications, change orders, and adjustments to project plans as needed.
  • Resolve challenges that arise throughout the project lifecycle while maintaining project quality, schedule, and profitability.
  • Manage project closeout activities, including as-built drawings, project documentation, client handoff, warranty coordination, and final project review.
  • Review and organize financial statements, contracts, change orders, and other required documentation prior to closing projects.
  • Maintain accurate project records and ensure documentation is complete, organized, and accessible.
  • Manage multiple HVAC projects simultaneously while prioritizing deadlines, customer expectations, and operational needs.
Skills and Qualifications
  • Professional background or education in mechanical engineering, construction management, HVAC, or a related field preferred.
  • Experience in HVAC estimating, contracting, installation, sales, or project management required.
  • 10+ years of HVAC installation, project management, or related industry experience preferred.
  • Previous experience managing commercial HVAC projects strongly preferred.
  • Experience developing estimates, proposals, budgets, and project forecasts.
  • Knowledge of ServiceTitan or similar field service/project management software preferred.
  • Extensive knowledge of HVAC installation practices, industry standards, equipment, tools, materials, and project requirements.
  • Strong understanding of commercial HVAC systems and construction processes.
  • Ability to read and interpret blueprints, specifications, proposals, submittals, contracts, and other construction documents.
  • Strong knowledge of cost analysis, budgeting, forecasting, and project profitability.
  • Strong leadership and problem-solving skills with the ability to make timely decisions in a fast-paced environment.
  • Ability to build and maintain professional relationships with clients, vendors, subcontractors, and internal team members.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills with the ability to manage multiple projects and complex project information simultaneously.
  • Ability to work in both office and job site environments, including indoor and outdoor conditions and occasional ladder use.
  • Ability to understand and apply company policies, procedures, safety standards, and project requirements.
  • Valid driver's license and acceptable motor vehicle record required.
  • Ability to successfully complete a pre-employment background check.
