We are seeking an organized, customer-focused, and detail-oriented Human Resources Assistant II to support the daily operations of our Human Resources Department. This role is ideal for an HR professional who enjoys balancing administrative excellence with meaningful employee interactions while contributing to an inclusive and equitable workplace. Reporting to the Senior Director of HR, you will support recruitment, onboarding, employee records, benefits administration, compliance, and HR systems while helping create an exceptional employee experience from hire through retirement.

Recruitment & Talent Acquisition

  • Post and manage open positions across recruitment platforms.
  • Maintain applicant information within the Applicant Tracking System.
  • Review applications and coordinate candidate communications.
  • Prepare employment offer letters.
  • Maintain recruitment dashboards and hiring metrics.

Onboarding & Employee Records

  • Coordinate background checks and employment clearances.
  • Conduct new hire onboarding and complete employment documentation.
  • Establish and maintain confidential personnel files.
  • Enter and maintain employee information in ADP Payroll and HR systems.
  • Maintain HR resources and communications through the ADP employee portal.
  • Prepare monthly employee announcements and organizational staff directories.

Benefits Administration

  • Educate new employees on available benefits including Medical, Dental, Flexible Spending Accounts, 403(b) Retirement Plan, Life Insurance, Paid Time Off
  • Enroll employees in benefit programs and track eligibility for benefit programs.
  • Reconcile monthly benefit invoices with payroll deductions.
  • Assist with annual Open Enrollment.
  • Coordinate Family and Medical Leave (FMLA), Massachusetts Medical Leave, and Workers' Compensation documentation.

Compliance & Reporting

  • Prepare annual ACA reporting (IRS Forms 1094-C and 1095-C).
  • Complete annual EEO, OSHA, and Fair Share reports.
  • Distribute required compliance notices and benefit communications.
  • Participate in professional HR development opportunities and agency committees.

Required Qualifications

  • Associate degree in Human Resources, Business Administration, or a related field.
  • 3โ€“5 years of Human Resources experience.
  • High level of confidentiality and professionalism.
  • Excellent verbal and written communication skills.
  • Strong customer service orientation.
  • Exceptional organizational and time management skills.
  • Strong attention to detail and accuracy.

Technical Skills: Experience using: Microsoft Office Suite (Word, Excel, Outlook), Adobe Acrobat. Preferred experience with: ADP Workforce Now (Payroll & HR), Applicant Tracking Systems (ATS)

Preferred Certifications: SHRM Certified Professional (SHRM-CP) or HRCI Certification (PHR or equivalent)
