HRIS Specialist

The HRIS Specialist will work in conjunction with the HRIS Manager to lead and manage the development, implementation, maintenance, reporting, and coordination of the Human Resources Information System (HRIS) for the YMCA of Greater Boston, as well as HRIS initiatives such as new system related projects, enhancements, and upgrades.

Education and Experience

·        Bachelor's Degree preferred; Minimum of 3-5 years of Human Resources experience.

·        Thorough understanding and working knowledge of HRIS systems and data flows.

·        Minimum of three (3) years' extensive query creation and report development experience required.

·        Demonstrated experience designing, developing, and maintaining reports, dashboards, scorecards, etc.

·        Functional knowledge of ADP Software experience a plus

·        Advanced skills and proficiency in Excel/Word required.

·        Excellent analytical, problem solving and complex logic skills.

·        Great attention to detail

·        Excellent communication skills with all levels

Key Responsibilities
Key Responsibilities: 

·        In conjunction with the HRIS Manager, oversee the day-to-day functions of the HRIS system, serving as a subject matter expert and trusted partner for all HRIS-related inquiries.

·        Support management and other Branches, Programs and Departments in the evaluation of the potential HRIS impacts of policy, procedure, and/or systems changes.

·        Formulate, communicate, and implement best practices for the HRIS system.

·        Create and maintain a user-friendly library of helpful self-service guides for YGB employees that are both easy to use and are readily accessible.

·        Create and maintain easy-to-use YGB-specific documentation of common HRIS system administration functions.

·        Provide timely customer service to all YGB employees via email, voice, screensharing, and in-person troubleshooting of user issues.

·        Create cases/service requests with software vendor when necessary and keep end users appraised of the status of their issues/requests.

·        Serve as the primary point-of-contact with the HRIS software vendor.

·        Assist with the assessment of departmental and institutional needs for HRIS enhancements and upgrades.

·        In partnership with the HRIS Manager, oversee the HRIS system upgrade processes, communicating that information with the proper YGB users/managers.

·        Determine costs for development, implementation, and maintenance of HRIS capabilities.

·        Ensure all HRIS and related systems are compliant with all applicable laws and regulations.

·        Evaluate HRIS functional and technical configuration and interfaces to ensure optimization.

·        Work with Human Resources, Payroll team, and others to streamline and systematically improve workflow processes.

·        Maintain user access roles and troubleshoot access conflicts when applicable.

·        Make security/access recommendations for HRIS access consistent with IT policy and practice.

·        Provide HRIS system overview/orientation to new HR Department hires.

·        Manage HR data analytics including report and dashboard development, along with working with various Programs/Branches/Departments to assess data needs.

·        Analyze and create Human Resources reports such as EEO-1, Termination, Benefits, Compensation, etc.

·        Generate ad hoc reports as requested.

·        Continually evaluate new potential add-ons/integrations and keep management informed of new and changing technology options.

·        Analyze and maintain HRIS database by reviewing, verifying and processing all employee personnel actions.

·        Approve correct requests in a timely manner.

·        Decline incorrect requests in a timely manner and provide details/assistance to users to ensure the correct requests are created as soon as possible.

·        Partner with Director Comp, Benefits & HRIS to ensure HRIS meets administrative requirements of benefit plans, troubleshoot benefits-related file imports/exports issues, etc.

·        Work with outside partners to provide administrative support if needed.

·        Work as part of a team to develop effective strategies to implement objectives.

·        Perform special project duties as assigned.

·        Perform other duties as assigned.
