District Receptionist/HR Tech

Under the supervision of the Executive Director of Human Resources, the District Receptionist/HR Tech will contribute to effective school-public relations with prompt and courteous handling of all inquiries and visitors.

Essential functions, as defined under the Americans with Disabilities Act, may include any of the following representative duties, knowledge, and skills. Employees are required to be in attendance and prepared to begin work at their assigned work location on the specified days and hours. Factors such as regular attendance at the job are not routinely listed in job descriptions but are an essential function. Essential duties and responsibilities may include, but are not limited to, the following:

  1. Greets all visitors courteously, determines their needs, checks appointments, and directs them to the proper person.
  2. Answers screens incoming telephone calls and responds appropriately to requests for information.
  3. Orders supplies and materials as needed.
  4. Update and distribute school directory as needed.
  5. Manages visitor sign-in/sign-out procedures, issues visitor badges, and ensures ID verification per district safety protocols.
  6. Maintains accurate logs (visitor logs and phone message logs) and files records according to retention/confidentiality requirements.
  7. Receives, sorts, and distributes mail and coordinates outgoing mail.
  8. Assists with onboarding support tasks (preparing packets, checklists, forms, and directing new hires to next steps).
  9. Provides basic troubleshooting/ assistance to visitors and staff (directions, forms, locating departments, general FAQs).
  10. Ensures compliance with privacy requirements when handling Personnel/HR information (FERPA/records confidentiality practices as applicable).
  11. Assist with verification requests, including but not limited employment verification and teaching experience verification forms, ensuring timely and accurate completion of required documentation.
  12. Monitor and manage the Crane HR email inbox, responding to inquiries and directing requests to the appropriate personnel.
  13. Performs other related duties as required by supervisor.

Qualifications:

  1. Customer service: 1 year (Preferred)
  2. Bilingual language skills (i.e., Spanish) preferred
  3. Ability to work harmoniously with staff and with the general public required.

Physical demands and working environment:

The position requires the individual to meet multiple demands from several people and interact with public and staff.
