Role Description

Seeking a highly experienced, proactive Startup Office Manager/Accountant to support a new team and collaborate closely with the founders. This is a mission-critical role for a fast-growing AI startup preparing for rapid scale.


We are looking for someone who thrives in ambiguity, anticipates needs before they arise, and can hit the ground running in a dynamic startup environment.


Role Overview

The Startup Office Manager/Accountant will serve as a strategic partner to the founding Executives, ensuring operational efficiency, executive focus, and seamless coordination across leadership. This role goes beyond general office support, and it requires business acumen, discretion, attention-to-detail, multi-tasking, strong execution capability.


Key Responsibilities: Executive Support & Accounting

  • Partner with Finance on expense tracking and invoice processing
  • Accounting transactions using QuickBooks Online (QBO)
  • Coordinate internal and external meetings across investors, customers, and partners
  • Serve as a gatekeeper while maintaining strong relationship management
  • Support HR operations (offer letters coordination, documentation tracking, benefits liaison)


Startup Office Management (SOM)

  • Support day-to-day startup operations across this new company and assist with culture creation
  • Build and maintain operational systems, trackers, and documentation
  • Assist with vendor management (office, catering, IT, facilities, etc.)
  • Coordinate onboarding logistics for new hires; manage benefits and payroll
  • Manage office operations, supplies, workspace readiness, and team experience
  • Develop lightweight but scalable processes appropriate for early-stage growth
  • Serve as point of contact for facilities, telecom, and office vendors


Board & Investor Services Support

  • Coordinate Board of Directors meetings (scheduling, logistics, catering, AV setup)
  • Compile and distribute board decks and pre-read materials. Track board follow-ups and action items
  • Support investor communications logistics
  • Maintain confidentiality of highly sensitive materials


Event Planning & Sales Kickoff

  • Coordinate venue logistics, catering, materials, travel, and vendor contracts
  • Manage run-of-show documentation for internal and external major events
  • Support leadership offsites and team events


Confidential & High-Trust Responsibilities

  • Handle sensitive business and personnel matters with discretion
  • Interface with investors, board members, and external stakeholders
  • Support executive decision-making through research and data organization


Ideal Candidate Profile

  • 7+ years supporting C-level executives, preferably in tech startups
  • Experience in early-stage or high-growth environments (Seed to Series B preferred)
  • Demonstrated ability to operate independently with minimal oversight
  • Exceptional organizational and prioritization skills
  • Strong business judgment and executive presence
  • High emotional intelligence and communication skills
  • Comfortable with ambiguity, rapid change, and fast execution cycles
  • Advanced proficiency in Google Workspace, Slack, Notion, CRM tools, and presentation software
  • Experience supporting Sales Kickoffs, Board Meetings, or Fundraising cycles strongly preferred
