Accounts Payable Specialist
Position Summary
The Accounts Payable Specialist is responsible for managing and processing invoices, ensuring timely and accurate payments to vendors, maintaining financial records, and supporting the overall accounting function. This role requires strong attention to detail, organizational skills, and the ability to work effectively in a fast-paced environment.
Key Responsibilities
- Review, verify, and process vendor invoices for payment.
- Match invoices to purchase orders and receiving documentation.
- Ensure proper coding and allocation of expenses according to company policies.
- Prepare and process check runs, ACH payments, wire transfers, and other payment methods.
- Reconcile vendor statements and resolve discrepancies in a timely manner.
- Respond to vendor inquiries regarding payment status, invoice issues, and account balances.
- Maintain accurate and organized accounts payable records and documentation.
- Assist with month-end and year-end closing activities, including account reconciliations.
- Monitor accounts to ensure payments are current and identify overdue obligations.
- Support internal and external audits by providing requested documentation and reports.
- Maintain compliance with company policies, accounting standards, and applicable regulations.
- Collaborate with internal departments to resolve invoice and payment issues.
- Assist with process improvement initiatives to enhance efficiency and accuracy.
Qualifications
- High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting, Finance, or related field preferred.
- 1+ years of accounts payable, accounting, or related experience preferred.
- Proficiency with Microsoft Office, particularly Excel.
- Experience with accounting or ERP systems preferred.
- Strong attention to detail and accuracy.
- Excellent organizational, communication, and problem-solving skills.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Knowledge of basic accounting principles and accounts payable processes.
