Job description

Position Overview


The Events Coordinator will coordinate and execute events across all venues within the group, with a primary focus on securing large-party bookings, private events, and brand activations. This role works closely with the Marketing & PR Director to align event strategy with brand positioning, marketing initiatives, guest experience standards, and revenue goals.

This position is part of an award-winning hospitality group operating multiple acclaimed bars recognized by both North Americaโ€™s 50 Best Bars and Worldโ€™s 50 Best Bars.

Key Responsibilities

Event Sales & Client Relations
  • Secure, manage, and grow large-party reservations and private event bookings across all venues
  • Respond to, qualify, and convert inbound event inquiries into confirmed business
  • Build and maintain relationships with corporate clients, liquore brand partners, concierge teams, hospitality contacts, and repeat guests
  • Facilitate venue walk-throughs in coordination with onsite management teams
  • Work directly with guests to plan and execute large-party and private events
  • Assist in planning and executing brand activations, guest bartending shifts, tastings, collaborations, popups, and special programming
  • Proactively identify and pursue opportunities to market private events, large-party experiences, and venue buyouts across all venues
Event Coordination & Operations
  • Coordinate all event logistics from initial inquiry through execution
  • Maintain event calendars, contracts, floor plans, BEOs, and booking systems
  • Liaise with General Managers, bar teams, culinary teams, and operations staff to ensure seamless event execution
  • Order and coordinate event add-ons including dรฉcor, rentals, entertainment, gifting, and branded materials as needed
  • Ensure all events align with company brand standards and award-winning hospitality expectations
  • Track event performance, guest feedback, reporting, and revenue contribution across all venues
Reservations Responsibilities
  • Review reservations for each location daily, with visibility maintained at least two weeks out
  • Reconfigure reservations and floor plans to maximize cover counts and optimize service flow
  • Monitor cancellations and adjust inventory as needed to recapture business opportunities
  • Enter and manage all large-party reservations within RESY
  • Update reservation settings for seasonal programming, holidays, and special events
  • Create, maintain, and adjust floor plans based on operational needs
Event Platform Management
  • Maintain all aspects of the platform including menus, packages, pricing, photos, and event details
  • Respond promptly to all large-party and private event inquiries
  • Prepare and distribute accurate and up-to-date BEOs to each respective venue
  • Update menus and event collateral on all platforms as needed
  • Coordinate printing and delivery of menus and event materials to venues
Qualifications
  • 3โ€“5 years of relevant experience in hospitality events, event sales, reservations, or a similar client-facing role.
  • Strong communication, hospitality sales, and client relationship management skills
  • Highly organized with exceptional attention to detail
  • Ability to multitask and thrive in a fast-paced hospitality environment
  • Experience with RESY, Tripleseat, or similar hospitality/event management platforms a plus
  • Flexible schedule including nights, weekends, and holidays as required by events and operations
