Job description

At Liverpool Animal Health Center, we are passionate about animal care. In fact, because we’re an AAHA – and NYSVMS-accredited veterinary medical facility, we uphold a high standard of care. Between our Liverpool veterinarians, vet techs, caretakers, and customer service staff, we have decades of combined experience and will do our best to accommodate your pet’s every need.

We are looking for an experience Practice Manager to join our team.

The Practice Manager is the financial and operational leader of the Hospital. He/She works with the hospital leadership as well as Community Veterinary Partners to ensure efficient day-to-day operations and successful financial performance. The Practice Manager leads by example to motivate and inspire the team to provide excellent experience for our clients and their pets.


ESSENTIAL DUTIES & RESPONSIBILITIES
Human Resources

  • Administrate all human resource functions including staff recruitment, hiring, training, scheduling, performance evaluations, counseling, and terminations.
  • Manage annual performance evaluations. Responsible for performance evaluations for supervised staff with the assistance of the department lead.
  • Implement and maintain Employee Safety and Disaster Plan procedures and manuals.
  • Assure compliance with OSHA and Workers’ Compensation programs.
  • Distribute all necessary communication materials with staff, including policy changes, relevant information discussed at meetings, and client feedback.
  • Mediate personnel grievance, documenting all reprimands and counseling meetings.

Operations

  • Keep CVP management informed of all relevant issues regarding staff, client issues, premises or equipment needs, etc.
  • Respond to client concerns in a timely and appropriate manner. Resolve medical client complaints in partnership with the Lead Veterinarian and RDO
  • Implement marketing activities in partnership with CVP and the Lead Veterinarian.
  • Assure premises, physical plant and equipment are in safe, clean, and optimum working condition, including the scheduling of regular maintenance.
  • Assure compliance with all regulatory issues including radiation monitoring, business permits and licenses, and animal control ordinances.
  • Maintain, and when necessary, amend client education handouts.
  • Oversee inventory purchasing and management within budget guidelines.
  • Schedule and attend all required meetings, including staff meetings and the hospital leadership team meeting.
  • Administer the hospital’s patient reminder system.
  • Oversee implementation of client wellness program and guidelines and monitor compliance in partnership with CVP.
  • Monitor the hospital email.
  • Manage the hospital practice management system.

Marketing

  • Monitor, implement, and evaluate client communications (i.e., direct mail, signage, social media accounts)
  • Ensure that the marquee is updated with timely messages.
  • Responsible for leading the development of referral relationships with humane societies, pet stores, etc.
  • Attend community functions to build potential client base.

Financial

  • Participate in the yearly budgeting process, monthly P&L reviews and discuss weekly financial reports with the lead doctor. Proactively monitor financial progress of hospital, analyze results, and adjust, if necessary, to ensure all budget goals are achieved.
  • Partner with RDO to submit capital expense requests per CVP guidelines.
  • Verify accuracy of vendor statements and match appropriate invoices to statements
  • Prepare the weekly CVP Business Package.
  • Responsible for managing the bi-weekly payroll process.
  • Oversee daily cash, check deposits, and manage local banking relationships.

In addition, the Practice Manager may work scheduled shifts during which he or she will be responsible for providing client service and/or direct patient care.


SUPERVISORY RESPONSIBILITIES
The Practice Manager is responsible for managing all hospital team members.


REQUIRED EDUCATION & EXPERIENCE
4+ years Hospital management experience especially in Emergency/Specialty preferred

College preferred.


CERTIFICATIONS, LICENSES, REGISTRATIONS
Certification in Veterinary Practice Management preferred.
