The Medical Assistant is responsible for providing safe and effective clinical care that is consistent with Magruder policies and procedures to all patients in all clinic areas, and assisting and performing procedures under the direction of the Physician and/or Advanced Practice Providers, Registered Nurses and Clinical Operations Manager. Medical Assistants may be assigned to specific medical specialty departments, and may be involved in both the clinical and front office duties including assisting Physicians with patient care and handling clerical, environmental, patient education, and organizational tasks.

Essential Duties & Responsibilities:

  • Rooming patients and obtains patient vitals, updates patient medication list, problem list and documents health history in electronic medical record system.
  • Triage phone calls

o Make appointments if necessary

o Document phone call in patient electronic medical record and relays patients question or concerns to physician; as necessary

o Provider information, results, or other medically pertinent information to the patient in a timely manner, as directed by the provider.

  • Make appointments/referrals for patients to specialist

o Provide written appointment information for patient in office, or call patient with appointment information.

o Fax pertinent patient information to specialist's office.

o Document appointment in the electronic medical record.

o Document referral in the electronic medical record.

  • Schedule tests for patients.

o Provide education to patient about test, including test preparation, directions to test, hospital registration, duration of test, and when to expect test results.

o Document test information in electronic medical record.

o Verify insurance and obtain prior authorization for test, as necessary.

o Document prior authorization information in patient's electronic medical record.

o Provide prior authorization documentation to Magruder Hospital.

o Fax test order to testing facility or Referral Specialist, and confirm fax was sent.

  • Venipuncture (if certified)

o Draw lab work in office, providing safe, efficient venipuncture at patient's office visit and at scheduled nurse visits

o Logs all blood draws/specimens for hospital lab pick up.

o Insure that specimens are labeled and stored properly.

o Demonstrate proficiency on an annual basis.

  • Performs lab testing in office

o Complete quality control testing on lab equipment per hospital lab standards.

o Order and maintain laboratory supplies.

  • Trained and proficient in the use of Magruder Hospital electronic medical records system.

o Retrieve emergency room notes and test results, specialists notes, discharge summaries.

  • Perform EKG's in office.
  • Administer immunizations to infants, children, and adults.

o Maintain separate immunization logs for insurance and VFC.

o Maintain temperature documentation log for refrigerator and freezer containing vaccines.

o Maintain current VIS (vaccine information sheets) and provides them to patients for all vaccines administered.

o Document vaccines in patient electronic medical record.

o Accesses IMPACTSIIS/state immunization website to obtain immunization records for patients.

  • Administer injections to patients as directed by physician.
  • Assist provider in minor surgical procedures.
  • Stock and re-order supplies needed for patient exam rooms, surgery rooms, and lab.
  • Maintain and order medications needed for clinic use.
  • Stock prescription drug samples in locked sample closet per hospital pharmacy guidelines

o Maintain log in/log out for prescription drug samples

o Pull expired prescription drug samples from the shelves in a timely manner and dispose of them properly.

o Assist pharmaceutical drug representatives in determining need for samples, obtaining physician signature.

  • Maintain log for insulin samples and stock insulin samples in refrigerator.
  • Maintain eye wash station at sinks and documents weekly checks.
  • Refill routine maintenance medications, as directed by prescribing provider.
  • Attend educational meetings, completes annual classroom and online training, as required.
  • Attend staff meetings.
  • Assist in peer interviewing as needed.
  • Comply with federal, state, and local legal requirements by studying existing and new legislation; anticipating legislation; enforcing adherence to requirements; advising management on needed actions; ensure compliance with Joint Commission and other external and internal regulatory agencies.
  • Maintain the integrity of confidential patient information in accordance with HIPAA and hospital policy, including accessing, using and disclosing patient information relevant to the individual employee's job duties. Also, maintain confidentiality of other customer and hospital business affairs.
  • Adhere to the standards of Magruder Hospital's corporate compliance policies and seek guidance and training when necessary to resolve questions about the policies. Reports violations in accordance with corporate compliance and organizational standards.
  • Attendance is an essential function of this position. Reports to work on time and as scheduled; Show respect for co-workers by following established break times; keep personal conversations and telephone calls to a minimum.
  • Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.
