Shipping Clerk – Roles & Responsibilities
Shipping Preparation & Processing
- Pack and crate products for shipment as required.
- Label packages accurately with correct addresses and tracking information.
- Prepare shipping documentation, including Bills of Lading (BOL), packing lists, hazardous materials documentation, International Commercial Invoices, and customs forms.
- Complete International Commercial Invoices accurately, ensuring proper part descriptions, declared values, country of origin, HTS codes (if applicable), and Incoterms are documented for customs compliance.
- Verify outgoing shipments against sales orders to ensure accuracy and completeness.
- Inspect goods for damage or missing crates/boxes prior to shipment.
- Ensure packaging meets customer, carrier, and regulatory requirements.
- Operate warehouse equipment such as forklifts, hand trucks, and golf carts as needed.
Logistics & Coordination
- Coordinate with carriers (UPS, FedEx, freight forwarders, and 3PL providers) for pickups and deliveries.
- Track, trace, and update the status of outgoing shipments and RMAs in the Teams Planner or designated system.
- Obtain rate quotes, calculate shipping costs, and determine the most cost-effective routing and shipping methods.
- Coordinate with the Kitting Team to ensure all order components are accounted for prior to shipment (blue dot verification).
- Communicate material shortages, shipment delays, or discrepancies to supervisors and relevant departments.
- Maintain accurate logs and records of all outgoing shipments.
- Coordinate with Purchasing and vendors for pickup requests when necessary.
International Shipping & Compliance
- Prepare and review International Commercial Invoices for accuracy and completeness.
- Ensure proper part descriptions, declared values, country of origin, HTS codes (if applicable), ECCN (if applicable), and Incoterms are correctly documented.
- Verify export documentation aligns with packing lists, sales orders, and customer requirements.
- Coordinate with freight forwarders, customs brokers, and carriers to ensure smooth international transit.
- Ensure compliance with U.S. export regulations, trade compliance requirements, and company policies.
- Maintain export records in accordance with regulatory retention requirements.
- Communicate with internal departments regarding export-controlled items or special documentation requirements.
- Monitor international shipments and proactively address customs holds, delays, or documentation discrepancies.
Training – Shipping Department
- Complete initial onboarding training specific to shipping procedures and workflow.
- Receive hands-on training for packaging standards, crating requirements, and customs shipping instructions.
- Be trained in preparation and review of shipping documentation, including Bills of Lading (BOL), packing lists, hazardous materials documentation, and International Commercial Invoices.
- Complete training in international shipping requirements, including HTS codes, ECCN export compliance basics.
- Receive training on carrier systems such as UPS, FedEx, freight portals, and freight forwarder platforms.
- Be trained on internal systems (ERP, Teams Planner, or designated tracking system) for shipment processing and status updates.
- Undergo export compliance awareness training in accordance with U.S. regulations and company policy.
- Participate in ongoing refresher training as procedures, systems, or regulatory requirements change.
- Crosstrain within shipping functions to ensure operational coverage and continuity.
Safety & Housekeeping
- Follow all warehouse and production safety policies and procedures.
- Maintain a clean, organized, and clearly labeled shipping area.
- Report unsafe conditions, incidents, or near misses promptly.
General Warehouse Support
- Assist the Receiving Team with unloading and staging products as needed.
- Support audits, inventory counts, special projects, and process improvement initiatives.
- Perform other duties as assigned by management.
