JOB DESCRIPTION

Hotel Sales & Rooms Coordinator – Job Description

Key Responsibilities

  • Coordinate group room blocks, reservations, and rooming lists for corporate clients and all group blocks.
  • Support the sales and catering team with contracts, proposals, booking details, and client follow-up.
  • Maintain accurate reservation and client records in the property management and sales systems.
  • Communicate room availability, special requests, and VIP accommodations with front desk.
  • Monitor room inventory and assist with maximizing occupancy and revenue opportunities.
  • Assist in preparing sales reports, occupancy forecasts, and event documentation.
  • Respond to guest and client inquiries regarding reservations, room availability, and hotel services.
  • Ensure group arrivals, departures, and special accommodations are coordinated efficiently.
  • Process reservations, changes/cancellations and billing information accurately.
  • Provide excellent customer service to guests, clients and internal departments.
  • Assist with site tours, event preparation, and sales administrative tasks as needed.

Qualifications

  • High school diploma or equivalent required; hospitality, business, or sales education preferred.
  • Previous hotel, hospitality, reservations, or sales coordination experience required.
  • Strong organizational, multitasking, and communication skills.
  • Excellent customer service and relationship-building abilities.
  • Proficiency with hotel property management systems (PMS) and Microsoft Office. 
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Flexible schedule availability, including occasional evenings or weekends if required.

Preferred Skills

  • Experience with systems such as Opera and Delphi.
  • Knowledge of hotel sales processes, group bookings, and revenue management.
  • Strong attention to detail and problem-solving abilities.
  • Professional communication and administrative skills.

Physical Requirements

  • Ability to sit, stand, and walk for extended periods.
  • Occasional lifting of light office or event materials.
