Position Summary
The Intake Specialist serves as a primary point of contact for patients and plays a critical role in facilitating the intake, registration, and assessment process within Same Day Access. The Intake Specialist is highly organized, skilled in data entry, customer service, and communication, with a commitment to providing efficient and effective support throughout the client’s intake journey.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
  • Lives out the INcompass Healthcare promise by consistently displaying compassion, treating all with dignity, and providing exceptional care for everyone.
  • Incorporates the six principles of trauma-informed care throughout all aspects of their work.
  • Primarily responsible for meeting with clients in the Same Day Access clinic and facilitating the intake and registration process. This includes welcoming and engaging clients, completing required intake and consent documentation, gathering and accurately entering demographic, clinical, insurance, and psychosocial information, and ensuring all required documentation is completed accurately and efficiently.
  • Processes and responds to incoming inquiries, referrals, and initial requests for services, including telephone calls, referral requests, and walk-in clients.
  • Obtains an understanding of the client’s presenting concerns, service needs, and referral source requests in order to facilitate appropriate access to care.
  • Identifies emergent needs and potential barriers to care and promptly connects clients with appropriate crisis intervention, clinical services, community resources, and other needed supports.
  • Provides education regarding available services and supports clients throughout the intake process to promote engagement in care and a positive transition into ongoing services.
  • Coordinates with clinical and administrative staff to facilitate timely access to services, including assisting with scheduling initial follow-up appointments and addressing barriers that may impact a client’s ability to successfully engage in care.
  • Collaborates with internal and external contacts, including referral sources and community organizations, to promote effective communication, continuity of care, and exceptional customer service.
  • Demonstrates strong problem-solving skills by remaining flexible and solution-focused when addressing client needs, scheduling challenges, documentation issues, and other barriers to accessing care.
  • Participates as an active member of the Access Team by assisting with access, intake, and registration functions as needed to ensure timely and effective access to care for all clients.
  • Participates in all required training and meetings as appropriate and assigned.
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • Minimum of High School Diploma or equivalency with one year of experience providing customer experience.
  • Preferred two years of experience working in a behavioral health setting or similar position.
  • Excellent organization and communication skills.
  • Knowledge of and experience with risk assessments.
  • Demonstrates skill and sensitivity to cultural differences.
  • Ability to work as a team player in a shared space with other access team members.
  • Skilled in multi-tasking.
