The Contractor Compliance Coordinatoris responsible forensuring seamless coordination between vessels, project managers, subcontractors, and insurance providers tomaintaincompliance andfacilitatesmooth operations and efficient gate traffic flow. This role supportsall ofService Operations while receiving daily guidance & feedback from the Purchasing Department and Subcontractor Management.

General Tasks & Responsibilities:

  • Update the "Add to AV List" excel document with new vendors and subcontractors.
  • Field inbound calls and inquiries related to insurance compliance.
  • Vet emails for necessary updates and additions to vendor lists.
  • Coordinate with vessels, project managers, and subcontractorsregardingnew companies, job confirmations, and gatelistpre-population.
  • Handle job approvals for companies not on the Authorized Vendor (AV) List.
  • Check and update the Insurance Queue throughout the day.
  • Update the AV List withexpirationdates obtained from the Insurance Queue.
  • Contact subcontractors not in the system via email to confirm jobs.
  • Process gate calls from the South facility and walk-ins from the North facilityregardinginsurance.
  • Maintain records of companies, crew, and guests passing through the East GSO gate.
  • File supporting insurance documentation in Perceptive.
  • Generate requested insurance-related reports such as the Diving Sub-Contractors Insurance Status report and Training Document.
  • Conduct insurance training and provide ongoing support for SYC.
  • Verify insurance compliance to ensure subcontractors meet all Safe Harbor requirements upon request.

Other Tasks & Responsibilities:

  • Weekly correspondence with insurance companies/agentsregardingrevisions and updates.
  • Weekly review each vessel's gate list for recently expired and expired contractors.
  • Ongoing emails to expired contractors requesting updated insurance information.
  • Monthly headcounts for the North facility gate and East GSOgate tomanagement.
  • Annual review of outstanding Insurancereportand the Unclassified Vendor Report.
  • Provide annual reports to Admin for review and approval.
  • Annual clean up the AV List bydeletingvessel direct contractors and inactivating subcontractors.

Safety and Environmental Responsibilities

  • Follow SHM Safety and Environmental rules and complete required related training
  • Wear proper personal protective equipment (may include safety glasses, gloves, life jackets and/or hard hats) as required for the task or work area
  • Report all accidents, injuries, spills and near misses immediately

Technical and Physical Requirements

  • Technical School training preferred
  • ABYC Certification will be required if not already achieved prior to hire
  • Ability to ascend and descend a ladder
  • Ability to work in small and tight spaces
  • Ability to lift 50 pounds
  • Any skills considered standard that a Contractor Compliance Coordinator should possess
