Employment Status:Full timeShift:Day (United States of America)Facility:4348 Electric Rd - RoanokeRequisition Number:R160831 RESIDENCY PROGRAM MANAGER (Open) How You'll Help Transform Healthcare:The Program Manager, Residency provides direction, leadership, and day-to-day management of the assigned Graduate Medical Education (GME) Residency or Fellowship Program(s) in conjunction with the appropriate Program Director(s) and GME Administration. Communicates, facilitates, prioritizes and problem-solves with administration, support staff, faculty, residents, attending physicians and others to ensure quality, efficient and cost-effective accredited Medical Education services. Committed to the provision of Medical Education in a large academic medical center. Manages administrative support staff as assigned.

The Program Manager, Residency

  • Manages day-to-day administration of the assigned Graduate Medical Education Residency or Fellowship Program(s) including resource allocation, problem solving, and staffs completion of delegated duties. Provides all aspects of office management for assigned program(s).
  • Manages accreditation readiness and oversees regulatory compliance.
  • Recruits and hires staff, provides performance feedback, and effectively manages employee performance. Facilitates professional growth and development of all staff through orientation, continuing education, delegation, and effective performance appraisal processes which includes goal setting and follows through. Communicates timely and appropriately with staff.
  • Responsible for all aspects of data management for assigned Residency or Fellowship Program(s). Use of our Residency Management System is required. Data management includes elements such as rotation schedules, evaluations, recruitment, orientation, resident onboarding, resident or fellow milestones, Clinical Competency Committee meetings, Program Evaluation Committee meetings, and Annual Program Evaluations.
  • Responsible for keeping program specific policies updated and in line with changing accreditation standards. Working knowledge of current VISA requirements and ensures international resident applicants are qualified to apply for Visas and verifies eligibility to work in the United States.
  • Manages and advises residents in problem-solving, including schedule changes, referral for personal stress, and other human resources concerns.
  • Responsible for preparing materials for conferences, lectures, and other didactic events. Organizes or delegates booking and preparing meeting rooms and prepares comprehensive materials as necessary.
  • Manages and directs the workflow necessary to maintain administrative paperwork, records and complex filing systems to maintain the Graduate Medical Education office.
  • Responsible for yearly cost report information for Medicare and for preparing invoices for residents service at the Salem Veterans Administration Hospital and Catawba Hospital.
  • Actively participates in strategic planning and financial management at the departmental and program level. Responsible for budget planning of assigned programs and is responsible for payroll, supply inventory, equipment maintenance, capital needs, and other expenses in the assigned Residency or Fellowship program(s). Monitors program financial statements and provides variance reports as requested.
  • Manages the yearly recruitment of residents/fellows, including complex scheduling of faculty, residents and applicants. Plays a critical role in representing Carilion and their program(s) in a positive manner through communication prior to arrival, during the interview process, and after. Must prepare and ensure required documentation is provided to applicants and maintained appropriately in order to meet regulations.
What We Require:

Education: Bachelors Degree in related field required. National certification from Training Administrators in Graduate Medical Education (TAGME) preferred.


Experience: Minimum of five years experience in the area of Medical Education or previous experience in coordination and/or support of Medical Education program preferred.


Other Minimum Qualifications: Medical terminology, computer knowledge (MS Office Suite).Must be self-directed, independently functioning and detail-oriented. Effective interpersonal, communication and teamwork skills required.
