*This specific role supports our Production, Grading, and Pavers departments.

Position Overview

The Operations Administrator provides administrative and operational support to our Customer Service and Production teams by coordinating work orders, tracking project documentation, and helping ensure day-to-day operations run efficiently and accurately.

This role is ideal for someone who is highly organized, detail-oriented, and thrives in a fast-paced environment with multiple priorities and deadlines.

Key Responsibilities
  • Schedule and accept work orders for the Customer Service division
  • Answer calls from builders regarding warranty dates and work order scheduling
  • Track multiple logs in Excel and generate maps for turnovers
  • Monitor AWA numbers, approval dates, and purchase order receipt and billing status
  • Generate proposals for additional work
  • Submit completed AWA documentation and purchase orders to Accounts Receivable while maintaining accurate logs for monthly financial reporting
  • Communicate with clients regarding outstanding purchase orders
  • Prepare electronic correspondence, reports, and other written communications
  • Perform filing, photocopying, emailing, and additional clerical duties as needed
  • Assist with additional projects and administrative tasks as assigned
What You Bring
  • Bilingual Spanish is highly preferred
  • Strong computer proficiency, particularly in Microsoft Excel
  • Excellent organizational skills and attention to detail
  • Ability to adapt quickly in a fast-paced work environment while managing competing priorities and deadlines
  • Willingness and ability to learn internal systems and software, including:
    • LSJMS (Landscape Scheduling and Job Management System)
    • On-Screen Takeoff (OST)
