Job description

Assistant Role/Title: Construction Project Manager & Administrative Coordinator

Tasks:

  • Job scheduling and warranty scheduling with builders
  • Builder communications (responding within hours during business day)
  • Maintaining job status board/dashboard for 30-40 projects across all phases (underground, rough, trim)
  • Crew dispatch and coordination (assigning crews to appointments, monitoring attendance)
  • Billing completed jobs (taking estimates and billing out to customers after inspection passes)
  • Document management (organizing project documents, bids, estimates, contacts into Google Drive folders)
  • Fixture order management (placing orders, following through to ensure delivery to warehouse or builder DCs)
  • Data entry into Service Titan (entering bid information, estimates, contacts for new and repeat customers)
  • Inspection monitoring (tracking inspections, pass/fail status, follow-up items)
  • Printing and organizing documents/binders as needed
  • Maintaining project phase tracking (underground → rough → trim → warranty)

Software to be used:

  • Service Titan (primary CRM and project management system)
  • Google Drive
  • Claude AI (for leveraging AI in workflows)
